The Graphic Depot Account Manager will act as an information focal point for graphics/design related Show Organizer and Exhibitor deliverables. This information will be organized and documented for the purpose processing work to fulfill the graphics requirements of various exhibits, tradeshows, and events. The success of the position involves 1) Managing and distributing/coordinating graphics orders and appropriate files in accordance with prescribed order requirements, budget, and quality parameters. 2) Interfacing with Show Organizers and Exhibitors by providing custom graphic quotations, recommendations for available graphics services GES provides, and technical assistance/guidance. 3) Provide recommendations and participate in the development and implementation of exhibitor graphics improvement strategies, such as: internal/external process improvements, introduction of new service offerings, and new technology that improves service and revenue generating opportunities.
Responsibilities:
Core Tasks / Important Responsibilities
- Communicate with Show Organizers and Exhibitors regarding graphic requirements (both technical and production related) for booth rentals, or graphics-only items. Explain and sell the company’s products and services as well as act as a conduit for ensuring orders are entered and all associated production files and/or design instructions are passed over to the producing city. Ultimate responsibility is to meet and exceed customer expectations with respect to requests for information (quotations and technical specifications) and quality of product delivered.
- Manage all Inbound/Outbound Call Center exhibitor requests for graphics information and quoting: Communicate directly with exhibitors regarding quoting needs. Provide quotes to exhibitors for approval and send all approved order details to order entry personnel in the Call Center. Transmit files and requirements to producing cities.
- Manage exhibitor graphics orders on assigned Tradeshow events, to include direct communication with exhibitors regarding technical specifications, processing work orders to the appropriate production entities, managing the proof and approval process for graphics layouts, and monitoring production statuses and making necessary changes to production as necessary to ensure timely delivery of a quality product.
- Review computer files or related artwork provided by exhibitors. Determine if the files are in a format suitable for specified output. Provide graphic layout support for exhibitor orders, as necessary.
- Ensure that project team members are aware of responsibilities, commitments, and performance on the project. Communicate project status as required and provide status reports and meeting minutes as required.
- Interact with GES Sales/Client Services Managers on events with large exhibitor graphic requirements. Serve a graphics resident-expert and Project Manager for assigned events.
- Act as the single point of contact with internal customers, vendors, and graphics shop on project related requirements.
- Coordinate/collaborate with all departments (Sales, Client Services, print production and warehouse) to ensure correct information and requirements are communicated. Initiate and coordinate changes and additions as deemed necessary.
- Responsible for managing, coordinating, and administering show graphics from the layout stages through planning, procurement, construction, and deployment.
- Generate specific work schedules, status reports, critical path activities, specifications, and punch lists.
- Develop and deliver presentations to communicate changes to management, create documentation to show projected revenue and costs, develop plans and strategies for cost control and margin goals, and be able to clearly present this information to management for decision making.
- Procure necessary subcontracting services for capacity over-flow and work beyond internal capabilities. Purchasing in accordance with internally established SOPs.
- Participate in all project-related meetings (pre and post show). Act as a focal point for all graphics related information on all assigned projects.
- Coordinate layout (with graphics production facility) and proofing (by internal/external customers) of graphic signage. Manage (in conjunction with Sales/Client Services) revision cycle to mitigate risk of timeline slip and service failure.
People:
- Track and document exhibitor order trends. Provide revenue and margin analysis to management for review.
- Develop/refine and implement internal processes to create a solid growth platform for executing exhibitor graphics.
- Grow and maintain effective partnerships with internal/external customers.
- Identify and recommend opportunities to expand the current graphics product offerings to the exhibitor base.
- Assist in the development of appropriate business/process plans associated with utilizing technology to improve the exhibitor experience. Where applicable, implement small-scale technology solutions as approved by IT.
Qualifications:
- 4 years’ experience in Graphics Design and Production
- Bachelor’s Degree in Fine Arts, Business, or another related field.
- Graphics software application knowledge: Adobe Creative Suite (Illustrator, Photoshop, InDesign, Acrobat), Microsoft Office Skills (Excel, Word, Outlook, Teams and SharePoint)
- Graphics equipment experience: Large/Grand Digital print and cut equipment.
- Proven experience in managing small and large projects from inception to project closeout.
- Self-starter which requires little direct supervision
- Should have a demonstrated ability to manage the everyday details of a project while focusing on the highest quality result
- Effective written and verbal communication skills
- Excellent follow-up methodology
- Comprehensive knowledge of current software and technology standards utilized beyond the tradeshow industry
- Strong time management/prioritization skills
- Must be able to juggle multiple priorities and daily deadlines from several departments.
- Strong ability to work under pressure
- Ability to work flexible hours and evenings and weekends as needed based on business requirements
- Periodic travel required (based upon business/show demands, up to 35%)
- Requires the ability to adapt to multiple settings and shifting responsibilities
- Work is performed mostly in home office, with some GES location meetings with some work being performed in a show site environment
- Work is performed in a somewhat crowded or noisy area where there may be mild discomfort due to temperature, dust, or other conditions
- Work involves occasional exertion of physical effort (i.e., periods of standing, climbing, stooping, kneeling, crouching, reaching, pushing, pulling, lifting)
- Flexibility and desire to work “hands-on”
