Position Summary
The Executive Assistant will provide high-level administrative support for two Vice Presidents, as well as serve as the office manager for NYC, based in New York, NY. Administrative and support services are crucial in the day-to-day business of Walmart. You’ll play a key role in facilitating meetings, travel, communications, managing schedules, overall organization and productivity. The successful candidate will be a collaborative team member with a friendly, energetic work style, exceptionally well-organized, able to effectively prioritize, and take initiative with projects.
What you will do…
- Manage daily calendars, demonstrate flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes.
- Support staff meetings, teleconferences, team off-sites and other events.
- Coordinate travel arrangements, both domestic and international (flights, hotel, train and car service, etc.) according to our travel policies. This may also include more complex coordination of booking multiple charters or private aviation.
- Facilitate timely expense reporting processes and vendor invoicing.
- Manage expense tracking spreadsheets and bring awareness to spending within budget.
- Solve problems effectively and creatively while maintaining a high level of professionalism and integrity, and commitment to our purpose and values.
- Protect the confidentiality of information received as part of job responsibilities.
What you will bring…
- Ability to utilize technology to improve performance and productivity.
- Advanced MS PowerPoint and MS Teams skills, and meeting facilitation skills within MS Teams.
- Experience creating SharePoint sites and managing shared folder access.
- Experience supporting Senior Executives and large teams within Walmart.
- Strong proficiency of Microsoft Office programs, ServiceNow, Concur, Travel Systems and Excel data management.
Minimum Qualifications:
Bachelor’s degree in Business, Operations, or related field OR 2 years’ experience in field, administration, operations, or related area.
