JLL is currently seeking a dynamic individual for a Community Manager on the Experience Management team at One Post Office Square in Boston, MA. The main duty is to create and manage programming at an office property to enhance the experience for tenants and visitors and create a sense of community on the property. The ideal candidate has a hospitable and creative personality reinforced with exceptional business acumen and tech-savviness.

OVERVIEW

  • Manages and schedules building amenities (ie. conference space, fitness facility, tenant lounges, etc.)
  • Supervises Lobby Concierges
  • Special event planning for meetings and events occurring at the property for clients and tenants directly - can be large-scale
  • Assist Community Manager in curating unique and worthwhile activations in public and private event space in conjunction with onsite retailers at times
  • Assists Community Manager in creating property programming with the goal of creating a property-wide sense of inclusion and community
  • Assists property management team in creating welcome collateral and events for new tenants
  • Responds to in-person, phone, and email requests from tenants and assists in providing guidance and information to tenants in a timely manner
  • Maintains “back-end” of property app, where applicable
  • Creates internal marketing messaging and collateral for property programming and events including One Post Office Square’s newsletter. Writes, edits, and sends a monthly email newsletter to tenants who have opted in to the service regarding events occurring in the building and around the area, and actively seeks to grow the email list by soliciting subscribers through marketing initiatives
  • Acts as a building ambassador, including maintaining a welcoming presence in public spaces when requested and during events
  • Negotiate contracts with area vendors for best price, product, and service
  • Works with Experience Management corporate team to grow a local Preferred Vendor list
  • Engages tenants to participate in building programming
  • Provides detailed reporting of the calls, emails, and requests that have come in and the type of services that have been provided and coordinated to the client and tenants
  • Assist Community Manager on timely and accurate To Be Invoiced (TBI) reports to the JLL Finance department to ensure accurate billing of services to clients
  • Other concierge-related requests, as needed

CONFERENCE CENTER

  • Maintain the admin portal of property app for reservation bookings and keep the conference center reservation excel updated including conference center reservations
  • Provide detailed reporting of conference center booking
  • Ensure tenants understanding of conference room regulations
  • Providing pricing for tenants
  • Oversee porters on the setup and layout of conference center
  • Maintain a welcoming presence at front desk during cafe open hours
  • Send monthly pricing rates and dates to PM team once reservations have been complete
  • Ensure a smooth setup for tenants – utilizing the catering kitchen if required
  • Oversee audiovisual support for conference rooms, troubleshooting issues and coordinating with vendors

  • Possesses foresight to organize event logistics up to 1000 attendees
  • Eye for clean, concise marketing collateral
  • Superior knowledge of local area cultural, dining, and entertainment venues, and ability to match client and tenant desires to the appropriate venue
  • Able to multi-task in a fast-paced environment, accommodating and communicating to a broad range of clientele with varied needs
  • Able to think quickly and efficiently when confronted with a client or tenant request
  • Motivated self-starter who can work with minimal supervision

EDUCATION AND EXPERIENCE

  • Bachelor’s Degree or equivalent work experience
  • At least three years’ experience in marketing and event planning, including VIP guest service
  • Previous concierge or VIP retail experience highly-preferred
  • Expert-level knowledge of the local area, including current dining, retail, and entertainment trends
