Library and Logistics Specialist

Job Description

Reports To: Facilities Manager (or designee)

FLSA Status: Non-Exempt

School Classification: Classified

Pay Schedule: Range 3 ($26.58 -$34.94)

Work Schedule: 12 months

Location: Onsite and Remote Office

Position Summary: Supports the operations of the Facilities Team and Lending Library to ensure it is aligned with the school's mission, vision, and core values.

ESSENTIAL FUNCTIONS and RESPONSIBILITIES

  1. Inventory:
    1. Collaborates with department leadership to create and maintain item numbers, ensuring items are physically marked and tracked in the school's inventory systems.
    2. Collaborates with the Facilities Manager to maintain the accuracy of the Lending Library physical inventory and online system inventory by physical inventory counts.
    3. Works collaboratively with other departments to locate, ship, and track Lending Library items for teachers, education advisors, and general department use
  2. Library Operations:
    1. Develops communications and advertising opportunities to promote Lending Library usage and growth
    2. Creates training for the Lending Library team to learn how to perform job duties and obtain any updates on job duties
    3. Prepares Lending Library orders for shipment (print order/shipping labels, pull items, package items for shipment)
    4. Prepares orders to be picked up by shipping company
    5. Maintains shipping records in the Lending Library online system
    6. Inputs items into the Lending Library system, when needed
    7. Processes Lending Library returns, including the management of instructional staff Lending Library item returns for all school separations
  3. Events:
    1. Assists the Facilities Manager with creating a materials swap and Lending Library presence at the Socials
    2. Plans and coordinates support for school events including but not limited to the Summits, Socials, and Graduations.
    3. Drives Sage Oak owned or rented vehicles, including oversized vans, moving trucks, and/or towing large trailers in support of school events.
  4. General Warehouse:
    1. Assists the Facilities Manager with environmental health and safety compliance and training
    2. Supports the shipping, receiving, and inventory management efforts of the Facilities team as needed


Other Duties
  1. Responds to all school-related written correspondence, phone calls, voicemails, and emails within 24 business hours
  2. Documents and refers all formal disciplinary actions involving students and staff to school management ensuring compliance with the school's Uniform Complaint Policy and the school's Uniform Technology Policy; addressing and resolving complaints from students, parents, and staff in a timely manner; and complying with the provisions of California Penal Code Section 11166 (Child Abuse and Neglect Reporting Act)
  3. Performs other duties as assigned


QUALIFICATIONS GUIDE

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Experience & Education:
  1. Three years of directly related experience preferred
  2. Any combination equivalent to graduation from high school and clerical or secretarial experience is required


Other Qualifications:
  1. State and federal background clearance (LiveScan) to work with students (Ed. Code 44237). No prospective employee can report to work without this clearance being received and Human Resources notifying the immediate supervisor of this clearance
  2. Proof of a clear TB test or completed tuberculosis risk assessment questionnaire and certificate of completion by a health care professional dated within the last 60 days (Ed. Code 49406 and AB 1667) upon employment and thereafter updated every four years
  3. Hold and maintain a valid California Driver's License; proof of automobile insurance; and full-time use of a dependable automobile that is insured pursuant to California regulations.
  4. Able to skillfully drive oversized vehicles, moving trucks, and tow large trailers.

  1. Computer and technology literacy:
    1. Operate office equipment including a calculator, copier, fax machine, computer, and assigned software
    2. Google Docs, Google Spreadsheets, and other online collaboration tools to send and receive information
  2. Basic arithmetic calculations


Skills:
  1. Conflict resolution
  2. Record-keeping techniques
  3. Methods of collecting and organizing data and information
  4. Knowledge of and experience using warehouse equipment
