Description

  • This position involves the management and support of initiatives that facilitate and improve the delivery of marketing services.

  • It includes the collection and analysis of data and processes to assist in the development of programs and strategies that enhance overall marketing performance, improve operational efficiency, reduce costs, and increase employee/client/patient satisfaction.

  • Develops and maintains a marketing operations infrastructure to support marketing project management, budgeting and general operations.

  • Recommends process improvements and efficiencies to maximize operational effectiveness.

  • Manages daily workflow of projects within marketing team, as well as the flow and deadlines of all marketing projects.

  • Creates benchmarks related to marketing team throughput and advises marketing leaders on appropriate performance targets.

  • Completes business cases, cost models and ongoing assessments pertaining to marketing programs and services.

  • Coordinates preparation and management of the annual operating and capital budgets for marketing.

  • Primary Duties & Responsibilities Analyzes established systems, methods, practices and procedures to evaluate their effectiveness utilizing existing information and makes recommendations for improved processes and procedures.

  • Integrates people, equipment, facilities and other resources to improve work results, operating efficiency, effectiveness, productivity and/or adaptation to new requirements.

  • Assists in re-engineering efforts using best business practices.

  • Sources industry benchmarks and best practices to establish marketing operational targets.

  • Measures process/program effectiveness and create actionable insight and understanding, through the analysis of both quantitative and qualitative data, building recommendations that directly address marketing objectives.

  • Presents findings to marketing leaders to drive action or remediation.

  • Develops, implements, and updates effective financial and operational models to meet current forecasting, budget, ROI and reporting needs.

  • Develops and maintains the annual budget for the marketing division, including processing of all invoices.

  • Provides budget forecasting based on actual activity and results and organizational volume/revenue needs.

  • Performs and measures the financial impact and justifications for capital expenditures, operating expenditures and the creation of new marketing programs and services.

  • Helps define and refine daily marketing huddle to help show work for the day and escalate any barriers to completing projects or reaching goals Runs weekly marketing operations (i.e. traffic) meeting to manage short-term and long-term deadlines to keep projects and goals on track.

  • Interacts with marketing staff, agencies, vendors, clients and freelancers to optimize marketing operations work flow.

  • Manages marketing project management system and tools (currently Wrike) to streamline workflow, identify process gaps, and provide short-term and long-term project and resource management for marketing team.

  • Conducts bi-annual audit of sample jobs and manages Standard Operating Procedures for department.

  • Maintains listing of all projects, sub-projects and jobs undertaken by the marketing department.

  • Follow up on all jobs on a daily basis and ensure deadlines are being met.

  • Secondary Duties & Responsibilities Supports broader marketing activities such as special projects management, client management, vendor management, etc. as needed.

  • Serves as Lean champion for marketing department. Other duties as assigned.

  • Knowledge, Skills, & Abilities Required Ability to function independently with a high level of autonomy and discretion.

  • Knowledge of prevailing practices in marketing and project management.

  • Ability to facilitate program design and create consensus.

  • Ability to independently interact with leaders, vendors and peers on matters of significance.

  • Ability to develop financial models, cost projections and develop/manage budgets.

  • Advanced MS Excel, Access and PowerPoint skills. Ability to clearly and concisely present information of a complex nature.

  • Ability to develop and foster key business relationships with leaders, peers and vendors.

  • Experience with Wrike, Basecamp, Workflow or other project management systems, a plus.

  • Bookkeeping and budget management experience required. Project management experience required.

Education Requirements:

  • Bachelors degree in Marketing, Business or related field required.

  • Masters degree in Marketing, Business, Industrial Engineering or related field preferred.

  • Certified PMP preferred.

  • Lean or Six Sigma training and experience a plus.

  • Work Experience Requirements Five years of professional experience in marketing, consulting, project management, finance or in a related capacity requiring heavy project management, process improvement and data manipulation.
