Job Title: Project Coordinator
Location: Los Angeles, CA
Job Overview:
Podium’s Project Coordinator is responsible for supporting the Creative Project Manager and creative team with overall cover art and marketing asset production to ensure timely delivery of projects. The Project Coordinator plays a key role in managing timelines and facilitating communication with authors, vendors, freelancers, and artists to gather resources. They oversee expenditure tracking for third-party assets, manage and organize digital assets across various platforms, and ensure formatting meets quality standards. The ideal candidate thrives in a fast-paced environment, is highly organized, collaborative, and adaptable, with a strong understanding of project management tools.
Job Responsibilities:
- Work with the Creative Project Manager to implement streamlined workflows to enhance the creative production process
- Build timelines and ensure projects are completed on time
- Facilitate outreach communication between authors, vendors, freelancers, and artists to gather cover art resources
- Track expenditure when securing third-party assets
- Store, organize, and manage digital assets between Asana, Airtable, Gmail, Slack, and Box
- Ensure digital formatting meets standard specifications and reformat as needed using PSD and After Effects
- Review and approve quality of marketing asset packages
- Monitor all communications between designers, Podium’s creative team, and our external team of freelancers
- Stay on top of all internal team Slack communications and alerts that might affect creative resourcing and assignments
- Collaborate with internal teams including the creative team, marketing team, and acquisitions team
Qualifications:
- Bachelor’s degree
- Demonstrate exceptional organizational skills with an emphasis on attention to detail and consistent follow-through
- Ability to efficiently manage multiple tasks and adapt to shifting priorities
- Ability to communicate clearly and interact with others - in person and remotely - in a positive, effective way
- Self-reliant with strong teamwork abilities
- Self-directed, goal-oriented, results-driven personality with a commitment to continuous improvement
- Proven track record with email communication
- Highly collaborative and resourceful problem solver
- An understanding and love of design and creative processes
- Proficiency with design and project management software (such as Adobe Creative Suite, Airtable, Asana) a plus
- Must be willing to work in the office (El Segundo, CA) 3x days/week (Tuesday, Wednesday, Thursday), working remotely from home 2x days/week (Monday, Friday)
