Position Overview

The Interlibrary Loan (ILL) Manager is responsible for leading the ILL team to accurately and efficiently facilitate the fulfillment of all interlibrary loan requests. The ILL Manager also oversees the library’s digital and physical periodical collection and performs tasks in support of the Collection Services Department and Technical Services Department. The person in this position is the subject matter expert on the latest information on best practices in the field of interlibrary loan and collection management. The successful Interlibrary Loan Manager will be a great communicator and collaborator with the staff that they hire, train, and supervise as well as the managers and staff working on other teams across the organization.

Essential Functions

  1. Manages department staff, including hiring, training, and evaluation of staff.
  2. Collaborates with Associate Director of Collections in creating, monitoring, and maintaining department budget to manage resources effectively.
  3. Develops, analyzes, and updates processes, procedures, and training materials to maintain efficient operation of the department and branches.
  4. Assesses quality and productivity statistics and coaches staff performance as needed.
  5. Analyzes, troubleshoots, and solves problems in WorldShare and other interlibrary loan products provided by OCLC.
  6. Collaborates with the Collection Development Librarians in analyzing data and creating processes to maintain the timeliness, relevancy, and popularity of the general circulating collection.
  7. Manages physical and digital periodicals for all branches.
  8. Communicates pertinent ILL and Collection information with branch management and staff.
  9. Coordinates with Delivery Services and external couriers regarding daily delivery and pickup of materials.
  10. Assists with the development and maintenance of a diverse Young Adult collection of physical and digital materials.
  11. Manages invoicing and payments for library materials.

Non-essential Functions

  1. Performs all department functions as needed.
  2. Keeps informed of branch programs, activities, and technology.
  3. Serves on committees as needed.

Education and Experience

  1. Master of Library Science (MLS, MLIS) from an ALA-accredited program plus 4 years of relevant experience required.
  2. 3 years of supervisory experience required.
  3. 2 years of library experience required.
  4. Interlibrary Loan and OCLC WorldShare experience preferred.
  5. Public library experience preferred.

Required Knowledge, Skills, and Abilities

  1. Job Knowledge: Advanced knowledge of local and national interlibrary and cataloging standards and processes, ability to stay current with changes in the field, answering questions concerning collection maintenance, loan policies, practices and processes.
  2. Expert knowledge and understanding of Intellectual Freedom through creating, articulating, and applying Intellectual Freedom standards in collection maintenance and interlibrary loan through policies, processes, and procedures.
  3. Technology: Intermediate knowledge of Teams, Microsoft Office 365 applications including Word, Outlook, Excel, and Teams to create and edit documents, spreadsheets, and emails and to share these with the department and vendors.
  4. Demonstrates ability to select and navigate OCLC interlibrary loan products for borrowing and lending materials with special, academic, or public libraries in the United States.
  5. Financial/Mathematical: Intermediate knowledge of budgeting practices and processes to assist in the creation and maintenance of an annual budget.

  5. Advanced knowledge of department processes and procedures, expert knowledge of Library Professional Ethics, advanced knowledge of the impact of decision-making on MCPL, and demonstrated mature judgment to make department-level/system level decisions.
  6. Advanced proficiency in customer service skills through polite, professional, and collaborative interactions with internal and external customers.
  7. An advanced understanding of inclusion initiatives in the organization, the impact of policies and procedures on inclusion, and how inclusion principles impact the workplace and library services.

Work Environment

Works primarily indoors with prolonged periods of sitting at a desk, working on a computer, and must have a reasonable tolerance for dust, mold, scents, allergens, and communicable diseases which enables the employee to handle library materials, work in older buildings, and interact with coworkers and the public.
