GENERAL FUNCTION:
Perform various administrative tasks to support daily operations within the Directorate, including managing calendars, scheduling meetings, and coordinating events. Act as the primary point of contact for external organizations, agencies, and internal departments to facilitate day-to-day operations. Serve as the Enterprise Information Management (EIM) SharePoint Access Approver and ERM records custodian. Track and report on cost, schedule, and performance parameters for assigned workloads. Coordinate with Integrated Product Teams (IPTs) to facilitate taskings and suspense, including general officer and Congressional requests. Process non-disclosure agreements for directorate personnel to access sensitive data. Plan and organize executive calendars, meeting schedules, and executive documentation (briefings, reports, etc.). Compile technical and non-technical documents, management presentations, meeting agendas, and minutes. Assist with milestone tracking, scheduling, and implementing project management strategies. Coordinate meetings, including VTC setups, conference room arrangements, and follow-up action items. Monitor office supplies and assist with procurement and distribution, ensuring adequate supplies for presentation/graphics. Support program management by maintaining schedules, IMS tracking, and supporting life cycle reviews. Maintain official file plans and ensure records compliance through AFRIMS or other systems. Assist with travel arrangements and travel voucher processing through the Defense Travel System (DTS), ensuring proper procedures and documentation. Manage administrative processes related to personnel actions, including in- and out-processing and record-keeping. Support program documentation, including aircraft availability plans, modification management plans, and other necessary reports. Participate in compliance inspections, tracking action items, and ensuring timely responses. Assist with maintaining and updating SharePoint sites, tracking training requirements, and ensuring records management procedures are followed. Support Freedom of Information Act (FOIA) and Privacy Act information requests. Manage mail, classified materials, and ensure proper handling and distribution of all incoming and outgoing correspondence. Coordinate and track the civilian and military recognition and decoration programs. Assist with the directorate's supply program, managing ordering, receiving, and accountability of office supplies and equipment. Provide administrative support for other personnel management functions, including the training program, coordination of staff events, and other administrative needs as assigned. QUALIFICATIONS:
Education/Certifications/Experience/Skills:
High School diploma or GED, ten years of experience in the respective profession being performed, five of which must be in the DoD. Must
possess and maintain a government security clearance at the
Secret
Level. Must
be able to perform functional duties independently. Must
be proficient in the use of Microsoft programs (including Excel, Word, Outlook) Must
be able to transport self to various facility sites, as required. If using own motor vehicle, must possess a valid driver's license and proof of insurance
