Monday – Friday in office support is required. Offices are located in Midtown, near Madison Square Garden.

9 am – 5 pm with flexibility to work longer hours as needed.

Job Summary:

A globally recognized direct access trading firm is seeking a highly organized and proactive Executive Personal Assistant to support the CEO alongside a team of assistants. This role offers a unique opportunity to apply strategic and analytical thinking while managing both the executive's professional and personal responsibilities in a fast-paced, high-demand environment.

Key Responsibilities:

  • Oversee and manage the CEO’s personal and professional tasks, including calendar management, reservations, and household coordination.
  • Organize and execute international and domestic travel logistics, including flights, accommodations, and ground transportation.
  • Maintain and prioritize competing schedules, agendas, and events to ensure seamless daily operations.
  • Handle wardrobe and style management, including personal shopping, wardrobe audits, and event attire preparation.
  • Provide comprehensive administrative support, including meeting minutes, document management, correspondence, and filing.
  • Lead and track multiple projects simultaneously, ensuring deadlines are met.
  • Maintain detailed to-do lists, tracking critical business and personal milestones.
  • Facilitate clear communication between the CEO and internal teams, ensuring smooth business operations.
  • Oversee and enhance the CEO’s social media presence, monitoring existing and emerging platforms.
  • Perform additional executive, creative, and personal tasks as required.

Qualifications & Requirements:

  • Bachelor’s degree from an accredited university.
  • Minimum 3–5 years of experience in an administrative, secretarial, executive, or personal assistant role.
  • Proven ability to manage sensitive and confidential information with professionalism and discretion.
  • Exceptional communication skills, both written and verbal.
  • Strong ability to multitask, prioritize, and work efficiently under pressure in a high-performance setting.
  • Self-starter with a positive, proactive attitude and a “no task too small” mindset.
