The Opportunity
We are seeking a highly organized and detail-oriented professional to support the strategic and operational initiatives of the CyberEdBoard as Communication & Operations Specialist.  

This role involves coordinating roundtables, newsletters, social media, outreach, research, and platform management to enhance engagement and streamline operations. The ideal candidate will be responsible for managing communication efforts, facilitating event logistics, handling data and contracts, and assisting with sponsor-related materials.  

Additionally, the Communication & Operations Specialist will play a key role in ensuring seamless session coordination, maintaining tracking systems, and supporting executive scheduling. This position requires excellent communication, organizational, and project management skills to optimize content strategy and support the broader ISMG management team.  

Our ideal candidate will come with strong organizational skills, eagerness to learn, and attention to detail as training and mentorship will be provided to bridge any experience gaps and facilitate skillset development!  

Responsibilities
Project Management & Administration: 

  • Maintaining operational effectiveness by streamlining project coordination, assisting with scheduling and program logistics, and facilitating stakeholder communication. 
  • Cultivate the team’s ability to make effective content recommendations to ISMG management by managing tactical submission process.  
  • Supporting Community Engagement programs and initiatives, assisting Executive Director with task management and organization efforts. 
Event Coordination & Platform Management:  
  • Supporting roundtable events by facilitating communication with moderators, handling invoicing, and recruiting additional members as needed.
  • Coordinating thought leadership sessions by managing registration pages, organizing and managing Zoom set up and links, calendar scheduling, and sending nurture emails.
  • Managing Hivebrite platform including content updates, uploading videos, and building new pages as needed. 
Content & Communications:  
  • Writing and designing materials, including social media posts, newsletters, press releases, and presentations, using Canva or similar tools. 
  • Creating biweekly updates and monthly speaker newsletters, along with developing toolkits. 
  • Creating post webinar documentation including webinar summary, key takeaways, outreach strategy, transcripts and more. 
  • Overseeing digital engagement strategies, including website content, email campaigns, and social media interactions. 
  • Supporting new member outreach and communication efforts. 
Research & Data Management: 
  • Keeping prospect lists current and researching relevant articles for content pipeline. 
  • Handling registration data and updating tracking systems. 
  • Organizing and tracking CEB membership and sponsor contracts in CMS. 
  • Assisting with targeted data pulls from Hivebrite for the team. 
Qualifications
  • Bachelor’s degree in Communications, Marketing, Business Administration, Event Management, or a related field (or equivalent experience). 
  • 1-3 years of experience in administrative support, project coordination, marketing, or event management. 
  • Project management skills, able to multitask and manage multiple deadlines efficiently. 
  • Experience in content coordination, social media management, or outreach communications is a plus. 
  • Some exposure to virtual event coordination (Zoom, Microsoft Teams, Webex, etc.) 
  • Basic knowledge of email marketing tools (e.g., Mailchimp, HubSpot) for outreach and newsletters. 
  • Strong written and verbal communication skills for drafting emails, newsletters, and social media posts. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Experience working with spreadsheets and tracking systems for managing lists and data.
  • Basic research skills to stay updated on relevant industry trends. 
  • Ability to work in a team environment, supporting senior leaders and cross-functional teams.
  • A proactive mindset with strong problem-solving skills.
​​Bonus Experience (Nice-to-Have but Not Required): 
  • Familiarity with CRM, CMS, or membership management platforms (e.g., Hivebrite, Salesforce.)
  • Familiarity with project management tools (e.g., Asana, Trello, Monday.com.)
  • Experience handling stakeholder communication and managing outreach efforts. 
  • Exposure to contract management or working with sponsors. 
  • Basic understanding of cybersecurity or technology industry trends.
