Job Title: Corporate Event Planner

Job Type: W2 Contract (12-Months)

Location: On-site, St. Paul, MN (May require local travel for events)

Schedule: Monday – Friday, 8:00 AM – 5:00 PM (Flexibility required for virtual events in other time zones)

Pay Rate: $23 – 26 / hour, DOE


Position Overview

We are seeking a highly skilled Corporate Event Planner to support Learning and Leadership Development programs. This role requires minimal supervision, strong event coordination expertise, and the ability to manage both in-person and virtual training events efficiently.


Key Responsibilities

Program Planning & Coordination

✔ Plan and coordinate logistics for in-person and virtual learning events (venue selection, catering, equipment setup).

✔ Develop and manage event timelines to ensure all tasks are completed on schedule.

✔ Communicate with internal stakeholders and external vendors to ensure seamless event execution.

✔ Assist in preparing reports and presentations for Learning and Leadership Development initiatives.

On-Site & Virtual Program Event Support

✔ Provide on-site support for in-person learning events.

✔ Manage technical support for virtual learning events (setup, testing, troubleshooting).

✔ Collaborate with speakers, facilitators, and participants to ensure a smooth learning experience.

✔ Track and report attendance, participation, and feedback for events.

External Supplier Support

✔ Process and submit invoices for external learning and development suppliers.

✔ Ensure accurate and timely completion of supplier documentation and maintain records for retention.

✔ Coordinate with procurement and IT teams for supplier onboarding and compliance.


Required Qualifications

🎓 Education: Bachelor's degree in Human Resources, Business Administration, Education, or a related field (preferred).

Preferred Qualifications

➕ Experience in Human Resources & Learning Operations

➕ Knowledge of procurement processes & documentation management

➕ Strong proficiency in Microsoft Teams & external supplier platforms

Languages: Fluent in English (Read, Write, Speak)
