Team Holdings Inc., dba Vario Productions (aka Vario) is a national live event production company, specializing in Corporate Events and Meetings, Galas, General Sessions, and Activations. We produce hundreds of events per year, and our clients have taken us throughout the United States and internationally. Our vast array of services include everything from production management, lighting, A/V, large-scale event technology, to having our own Event App and Virtual Meeting Platform.


CANDIDATE PROFILE

The National Logistics Manager is responsible for overseeing all event staffing, recruiting and vehicle logistics. This position will use various networks to seek out talent in all major US cities to build a vetted roster of experienced engineers, technicians, operators, stagehands, drivers, creative directors and event managers. The intentions of this position is to expand our talent network in targeted markets and keep a strong labor pool active to service our event needs. This position will require constant interviewing, meetings, coordinating, detailed communication and budgeting for all event staffing. The National Logistics Manager will attend both pre-event production and post-event meetings, in addition to event proposal reviews to ensure proper staffing has been considered prior to proposal submission. Candidate must have a strong history working in corporate events to understand the unique talents each individual will bring to the table and match them with the specific events needs. Act as a repository for all company talent, while keeping current notes and updated certification(s) for each contractor. Ensure contractor invoices are processed and PO’s have been created. Ideal candidate will have experience with commercial vehicle laws and regulations for weight and driver qualifications, including Vans, Box Trucks and Semi Trucks. Intermediate knowledge of standard trucking functions, logs, durations and safety. In addition to working with all event contractors, the National Logistics Manager will take direction from the events Project Manager and Technical Director to ensure the correct staffing has been secured and scheduled within budget. The ideal candidate will thrive under pressure, enjoy collaborating with multiple stakeholders and create a sense of trust within our labor providers, contractors, vendors and partners.

Requirements:

Required

  • Strong communication skills, excellent organization and time-management, thoroughness, and the ability to handle multiple priorities including simultaneous projects of varying sizes and scope.
  • Must have a fluid schedule to support unforeseen evening and weekend staffing needs.
  • Customer service oriented; self-managed and goal-oriented; good presentation, people, and writing skills; ability to work in a team environment and be a motivating influence.
  • Intermediate computer skills a must (including G Suite, Microsoft Office, Windows/Mac, Adobe Premiere).
  • Strong understanding of technician positions for a corporate event and how each role is utilized.
  • Strong financial acumen regarding labor market rates, negotiating and payment accuracy.

Preferred

  • 8+ years of AV Production/Sales experience in a client-facing role.
  • Event budgeting and forecasting.
  • Knowledge of the following platforms/apps: Flex Rental Solutions, ClickUp, Vimeo, Zoom, Google Workspace suite.
  • Event industry work experience, demonstrating progressive career growth and a pattern of exceptional performance.
  • Roster of freelance labor talent.
  • Sales experience.

Core Work Activities

Staffing:

  • Secure and confirm all labor positions for each event within the project's budgets.
  • Negotiate rates with vendors and contractors.
  • Review equipment requirements to pair the best staff for each event.
  • Work with PM/TD on labor needs and find cost reduction opportunities.
  • Review proposals for labor needs and advise.
  • Ensure all labor talent knows what equipment is being used and what is expected of them.
  • Act as the companies main point of contact for all contracted labor and suppliers.
  • Work with PM & DOO on labor shortages during peak seasons.

Recruiting:

  • Build up a reliable network of direct hire contractors and labor providers in new and existing markets.
  • Update and maintain an active list of current talent resources available to Vario.
  • Send and manage onboarding documents and requirements for new contractors.
  • Create partnerships with vendors for labor and turnkey solutions.
  • Interview candidates and document detailed notes about their skills, certifications, rates, etc.
  • Post ads and join networking groups to source candidates.

Vehicle and Labor Logistics:

  • Review vehicle requirements and reservation allocation.
  • Ensure staff is adequately prepared for events.
  • Create trucking and loading/unloading schedules with your project manager/vendors.
  • Ensure driver documentation and insurance needs are completed.
  • Manage staff responsible for event coordination activities.
  • Attend venue site visits to understand logistical needs, restrictions and requirements.

Additional Activities

  • Create and manage Labor POs and invoices.
  • Find solutions to reduce costs on shipping and labor.
  • Train contractors on Vario expectations and process.
  • Liaison between Vario and all contracted production vendors.
  • Support sales efforts with forecasting labor costs and availability.
  • Support accounting payment concerns and research discrepancies.
  • Act in an advisory or consultant role to the sales team in the pitch, proposal creation, and brainstorming phases of the sales process.
  • Communicate and escalate issues to relevant project leads (Project Manager, Technical Director, Sales Manager).
  • Create a performance metrics system to ensure proper staffing assignments meet the event's unique skill level.

Compensation

This is a full-time, salaried position at $65,000 - $72,000/year annualized + company benefits package:
