We are seeking a Part-Time Staff Accountant to support our finance team in managing key accounting functions within our PR agency. This role requires strong attention to detail, organizational skills, and the ability to work collaboratively across departments. The ideal candidate will have experience in accounts payable, accounts receivable, reconciliations, and financial reporting.

Primary Responsibilities (The What)

Accounts Payable (AP)
  • Post invoices into the financial system.
  • Set up and maintain vendor records.
  • Handle vendor payment inquiries and ensure timely payments.
  • Obtain vendor W-9s and Vendor Profile information.
  • Collaborate with agency staff regarding invoice approvals and payment status.
Credit Card Reconciliation
  • Reconcile credit card charges.
  • Ensure proper posting to the correct GL codes with appropriate supporting documentation.
Employee Expense Management
  • Review all employee reimbursable expenses for compliance with company T&E policy.
  • Generate clear reports illustrating spend and policy adherence.
  • Must be able to handle onboarding and ongoing use of the Concur system for expense management and reporting.
Cash & Bank Activity
  • Ensure all bank transactions are properly recorded and reconciled with bank balances and statements.
Accounts Receivable (AR)
  • Assist in preparing and issuing client invoices.
  • Reconcile client fees and post payments to the general ledger.
  • Follow up on outstanding receivables to ensure timely collection.
Reporting & Month-End Close
  • Provide A/P & A/R reports to staff and management.
  • Assist in month-end close activities, including:
    • Posting journal entries.
    • Preparing financial statements.
    • Recording accrued expenses, depreciation, amortization, and prebill transactions.
Additional Responsibilities
  • Assist with balance sheet reconciliations.
  • Assist with annual audits by preparing necessary documentation.
  • Provide ad hoc financial reporting and analysis for senior management.
Key Performance Measures
  • Demonstrate knowledge of GAAP and ability to perform the general functions of accounts payable, accounts receivable, payroll, and general ledger maintenance
  • Demonstrate proficiency in QuickBooks and Microsoft Office including Excel (e.g., pivot tables and V-lookups)
  • Demonstrate strong communication skills, both verbal and written - is comfortable/confident interacting and communicating with agency staff and senior management alike.
  • Ability to be analytical, multi-task, and manage deadlines while maintaining a high level of accuracy and a strong attention to detail
  • Ability to respond in a timely manner to the needs of internal and external partners
  • Being highly focused, yet adaptable and eager for change
Minimum qualifications and requirements:
  • 2-5 years' relevant experience, PR agency experience preferred
  • Experience handling both AP and AR responsibilities
  • Proficiency with QuickBooks and MS Excel
  • Must be able to work onsite as-needed
Compensation

$35 - $40/hr. (depending on experience).
