We are currently seeking a highly organized and proactive Office Administrator & Executive Assistant who will serve as the backbone of our daily operations. If you are a fast learner that excels in client communications, administrative coordination, executive-level support, and has interest in the finance and legal industry we invite you to join our team and help us continue delivering top-tier service.

Key Responsibilities
  1. Client Communication & Coordination
    • Act as the initial point of contact for client inquiries, ensuring timely and professional responses.
    • Liaise with external agencies, such as state and federal government bodies, to gather or provide documentation as needed.
    • Support client onboarding processes, collecting required information and setting up accounts or services.
  2. Executive & Administrative Support
    • Provide executive assistance to firm principals, including calendar management, scheduling, and handling communication on their behalf.
    • Coordinate meeting schedules, manage office calendars, and greet visitors.
    • Handle incoming calls, mail, and deliveries in a timely, professional manner.
    • Maintain organized records, files, and correspondence for the firm.
  3. Process Improvement & Compliance
    • Identify and implement ways to streamline administrative processes.
    • Ensure company policies and procedures are consistently upheld.
    • Support special projects or initiatives aimed at enhancing client service or operational efficiency.
Qualifications

Education & Experience

  • Associate’s or Bachelor’s degree in Business Administration or a related field (or equivalent experience).
  • Experience working in a CPA firm or professional services environment is highly desirable.

Technical Skills

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with basic administrative software and CRM systems.
  • Comfort working with digital filing and organizational tools.

Soft Skills

  • Strong organizational and multitasking abilities.
  • Excellent attention to detail and confidentiality.
  • Effective verbal and written communication skills for interacting with clients, colleagues, and external parties.
  • Self-motivated and capable of taking initiative in a fast-paced environment.
