Position Summary
In consultation with the Head of Film and Media Studies, its Director of Undergraduate Studies and Director of Graduate Studies, this position manages the administrative, student and faculty facing operations for the undergraduate and graduate Film and Media Studies (FMS) program, which offers courses each fall and spring semester, as well as during the summer term.
Responsibilities
- Assist the Assistant Director of Academic Administration with class scheduling, maintaining and updating BA and MA curricular requirements, managing award notifications, overseeing graduation certification, and assigning student service and Federal Work Study positions. Evaluate transfer credits for more than 100 FMS majors.
- Schedule faculty and student meetings as requested. Maintain student listservs, the calendar of FMS events, lists of student service position assignments, and event advertising lists. Keep thesis lists updated on the shared drive. Manage the MA Admin and FMS FAC shared Google Drives, including the MA Thesis PDF archive.
- Manage FMS' operational budget and expenses, reconcile accounts, and prepare financial reports as requested. Process MA Thesis reader payments/agreements.
- Coordinate logistics for FMS faculty searches in consultation with the Office of the Dean.
- Support the graduate student admissions process and workflow under the direction of the Director of the MA Program and the Office of Admissions and Financial Aid.
- Manage FMS website updates and listings in collaboration with the Office of Communications.
- Serve as the primary liaison to Lenfest Center for the Arts staff to plan and implement FMS public events and conferences. Assist faculty to plan and manage other special events. Secure appropriate venues, book rooms, oversee catering, facilities, manage caterers and support staff, student workers. For visiting speakers, arrange flight and hotel booking.
- Assist faculty to plan and implement incoming MA student Orientation.
- Support the annual production grants process for the MFA program as needed, in consultation with the Director of Production and the Chair of the Film Division.
Minimum Qualifications
- Bachelor's degree or equivalent experience required; Master's degree preferred.
- Minimum of 2 years of related experience required.
- Excellent interpersonal and communication skills (verbal and written) are necessary.
- Must be detail-oriented with strong organizational, proofreading, and editing skills, and have the ability to prioritize and work on multiple projects simultaneously.
- Ability to exercise good judgment and handle confidential information is essential.
- Ability to work closely with staff, faculty, and students from diverse backgrounds is required.
- Proficiency in Adobe Photoshop, Illustrator, and InDesign required.
Preferred Qualifications
- Knowledge of cinema and cinema history preferred.
