Position Summary Deerfield Group is seeking an experienced Project Manager (PM) who will oversee the planning, implementation, and tracking of communications projects for our clients, primarily in the biotech, pharma, and consumer science spaces. This role requires a strong balance of client interaction, team collaboration, critical thinking and project management skills, ensuring all work is strategically aligned, completed on time and within budget, thoughtfully executed, and adheres to Deerfield standards.
This role will be based in our office in Conshohocken, PA.
Key Responsibilities Client Interaction Drive tactical execution of key client projects/programs Develop project plans, manage timelines, track finances, coordinate resources and drive efficiencies across the agency Partner with Account team to understand client project goals and requirements Develop and leverage in-depth understanding of all communications activities and workflows to work in seamless partnership with client service teams Partner with external vendors, internal teams to ensure efficiency and execution of key strategic plans Contribute to client proposals and quotes with oversight from management Follow Deerfield procedures for client budgets, budget tracking, contract approval, purchase orders, billing rates and allocate resources. Ensure coordination with the finance team to book revenues for projects, close invoices, raise POs for vendors/partners, etc. Ensure all activities carried out for clients are properly documented and budget and status reports are submitted. Ensure the work is on budget, on time, and meets quality standards Technical Expertise Traffic work in a timely manner throughout the life cycle of a project Manage systems/tools that contribute to project/program success (Adobe Work Front, Gitlab, and other project management platforms) Schedule and support project kickoff meetings, along with frequent check-ins Monitor project progress and identify areas for efficiencies or where other solutions may be needed Follow Deerfield best practices as it relates to documentation storage, movement, and naming Establish and manage project scope Review and consolidate feedback/comments within PDFs, and track overall process Communication Build strong working relationships with all team members Streamline communication between internal team members Work effectively and efficiently with internal and external stakeholders Clearly articulate project status, milestones, and key decisions effectively to ensure alignment and transparency, and escalate potential risks in a timely manner Deliver final project summary to the client, as needed Critical Thinking Anticipate timeline challenges and implement corrective actions as needed Ensure compliance with legal requirements and industry standards throughout the project lifecycle Collaboration Drive consistent collaboration with shared resources during the life cycle of the project Contribute to cross-functional discussions with informed POV Foster a collaborative and inclusive team environment, encouraging open communication and knowledge sharing Take ownership and accountability of project progress and success as a dedicated member of the team Team Leadership Assist in providing ongoing support and mentoring entry level project coordinators Lead trainings for clients services team on best practices, new processes
Qualifications Bachelor’s degree 4-5 years of project management experience in a communications agency setting, ideally in healthcare or life sciences Knowledge of communications workflows Proficiency in project management software (Adobe Work Front and GitLab a plus) Strong organizational and multitasking skills with attention to detail Strong scheduling and time management experience Excellent communication, negotiation, and problem-solving abilities Positive, curious, and solutions-oriented mindset
