Summary: The Assistant Community Manager is responsible for providing operational leadership and direction. Additionally, the Assistant Community Manager's main duty is to effectively compute, classify and record numerical data to keep financial records complete while assisting with the leasing, marketing, and resident relations for the community. The candidate will perform any combination of routine calculating, posting, and verifying duties to make payments to vendors, process resident rental payments and obtain primary financial data for use in maintaining property accounting records. The Assistant Community Manager assumes all management duties not performed by the property manager and assists the property manager in many areas.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Community Management
  • Represent the company in a professional manner at all the times.
    • Assume Community Manager's duties/authority in absence of immediate supervisor in accordance with company and community guidelines.
    • Comply with federal, state and company policies, procedures and regulations.
  • Maintain open communication with Community Manager and Maintenance Supervisor.
  • Perform regular community inspections and communicate related service needs to Maintenance Supervisor.
  • Contribute to cleanliness and curb appeal of the community on continuing basis.
  • Assist with preparation of weekly, monthly and quarterly reports.
Leasing & Renewals
  • Assist with all duties associated with leasing apartments to new tenants.
    • Greet and qualify prospects as needed by covering all criteria (ask questions; utilize completed guest cards, etc.).
    • Assist with processing of rental applications for approval. (i.e., credit check, rental history, etc.)
    • Understand the lease and contracted credit report application.
    • Assist with securing new resident signature(s) on appropriate paperwork prior to move-in.
    • Orient new residents to community as needed.
    • Ensure apartment units are ready for resident(s) to move-in on agreed date.
    • Gather information about market competition in the area.
    • Proof-read all lease paperwork and process move-ins and move-outs.
  • Prepare monthly renewal offers.
    • Distribute, track and report on renewal status.
Income Collection & Accounting Support
  • Provide accounting support to Community Manager.
  • Maintains accurate resident records. Updates on daily basis all rents, deposits and application fees received from residents. Issue appropriate notice when necessary (e.g., late payments, eviction notices, returned check memos).
  • Processes all security deposit move-out reports.
  • Process vendor invoices.
    1. Communicate with Community Manager regarding accuracy of invoices received; ensure that purchase orders are attached, and invoices are coded correctly, according to company procedures.
    2. Ensure that all invoices received for the property(ies) are approved, entered and paid within a timely manner.
    3. Assist with vendor onboarding including but not limited to gathering of W9s and COIs.
Resident Relations
  • Listen to resident requests, concerns and comments.
  • Quickly complete maintenance Service Request and inform the maintenance team. Answer questions for residents about community, repairs, rent, rules, etc. Follow up on a timely basis if unable to respond to residents on all matters.
  • Ensure all maintenance repairs are handled satisfactorily by contacting residents with completed Service Requests.
  • Assist in planning resident functions. Attend functions and participate as host for any functions as directed by the community Manager.
  • Enforce policies of the community.
  • Physically inspects community when on grounds, picks up litter and reports any service needs to maintenance staff. Will also inspect move-outs and vacancies when requested.
  • Collect move out keys and move tenant out of the system in Yardi.

Education and/or Experience:

Bachelor's Degree from a four-year college or university; or one to four years related experience and/or training; or equivalent combination of education and experience.
