Job Description:
  • The Engineering Data Clerk will report to the Senior Manager, Engineering Compliance and is responsible for accurate management and safeguarding of documentation generated by the maintenance team, contractors and suppliers in support of the day-to-day operation of the maintenance department and in a manner that will enable all relevant parties to quickly retrieve them.
  • This includes, but is not limited to, operating procedures, manuals, engineering/technical reports, correspondence and project management files.
  • Will create and label document folders and create electronic tracking/cataloging in internal tracking system, CICR (Central Index of Company Records).
  • The clerk will also perform second review of data entered into the Computerized Maintenance Management System (CMMS) as needed.
  • This position is on site. No travel is needed for this position.
Qualifications for the Engineering Data Clerk include:
  • Excellent attention to detail
  • Proficiency in basic arithmetic: Addition, subtraction, multiplication, fractions, decimals and division.
  • Good understanding of imperial and metric units of length measurement.
  • Excellent problem-solving abilities: Ability to understand and solve mathematical problems, including word problems, with accuracy and efficiency.
  • Analytical and quantitative skills: Ability to analyze data, interpret results, and draw meaningful conclusions.
  • Ability to solve problems with minimal guidance
  • Analytical and documentation skills
  • Exceptional written and oral communication skills
  • Highly self-motivated and directed
  • Ability to absorb and retain information quickly
  • Strong computer skills and proficiency with Microsoft Office product suite
  • High school diploma or GED
  • Strong multi-tasking and time management skills
Desired Experience (preferred but not required):
  • Previously worked in a cGMP setting
  • Worked with CMMS and/or CICR systems previously
  • Ability to create and use Excel formulas
  • Ability to use MacroExpress software
Hard Skills:
  • Computer literacy (especially with Microsoft applications)
  • Document organization and filing
  • Data entry
Preferred Skills:
  • Knowledge of cGMP policies and procedures
  • Worked with CMMS and/or CICR systems previously
  • Advanced Excel and/or MacroExpress skills
Day2Day:
  • Receive and safeguard new documents from customers for filing, create and label document folders, enter into CICR, and file in the Engineering library. Use CICR to search for and retrieve filed documents from the library for customers.
  • Perform second review of equipment/instrument data in CMMS. Possible scanning and archiving. Assist in site audits and inspections with retrieving engineering documentation as needed. Perform various other routine clerical duties.
