Senior Marketing Coordinator
We are looking for a highly organized, energetic, detail-oriented, and collaborative Senior Marketing Coordinator to join our team. This role reports directly to the Marketing and Business Development (BD) Manager and works closely with technical staff across all company locations and practice areas. The Senior Marketing Coordinator will be instrumental in driving strategic growth by managing proposal development, branding, and marketing initiatives.
Key Responsibilities
Proposal Development
- Coordinate and prepare high-quality proposals and qualification packages to secure new contracts and projects.
- Maintain an up-to-date internal library of project descriptions, resumes, and proposal materials.
- Facilitate clear communication among stakeholders to ensure an efficient, accurate, and collaborative proposal development process.
- Manage multiple proposals, projects, and quick-turn requests while meeting deadlines.
Brand Management
- Enhance and maintain the company's brand and digital presence through marketing content, website management, LinkedIn, and other platforms.
- Assist technical teams with conference registrations, abstract submissions, and networking opportunities.
- Support HR and technical teams in developing marketing materials for career fairs, conferences, and corporate events.
- Ensure brand consistency and quality across all company deliverables through internal branding guidelines and templates.
- Collaborate with HR to foster company culture through employee events, polls, outreach, and charitable initiatives.
Customer Relations
- Plan and coordinate industry events, conferences, webinars, and networking opportunities to enhance company visibility and client relationships.
- Maintain and update the Client Relationship Management (CRM) system with relevant data to support proactive client engagement and performance tracking.
Business Development
- Assist in identifying and pursuing new business opportunities in emerging markets and expanding relationships with new and existing clients.
Internal Operations
- Support the Marketing and BD Manager in collecting and analyzing marketing and business development performance metrics.
- Provide timely and accurate marketing reports to the Chief Operating Officer (COO) and technical teams to assess marketing strategy effectiveness.
- Assist in developing annual marketing plans and budgets for the Marketing/BD Department and practice areas.
Qualifications & Experience
The ideal candidate will have:
- Bachelor's degree in marketing, business administration, communications, or a related field.
- Minimum of 5 years of experience in marketing and business development.
- Experience in the environmental, engineering, or water resources industries (preferred but not required).
- A proven track record in marketing campaign coordination, brand awareness, lead generation, and proposal development.
- Proficiency in Microsoft Office 365, WordPress, SharePoint, and Adobe Suite (Photoshop/Illustrator/InDesign).
- Strong organizational and project management skills, with the ability to handle multiple priorities simultaneously.
- Excellent oral and written communication skills.
- Experience with Deltek VantagePoint CRM (strongly preferred).
- Demonstrated reliability, flexibility, and ethical business practices.
