ABOUT THIS JOB:

As part of our Event Production team, the Event Video Technical Producer is the bridge between event sales and fully executed productions. Working closely with Sales, Design, and Warehouse teams, this role takes a high volume of contracted events and translates them into detailed designs using Vectorworks plotting, signal flow diagrams, and database-driven pick/pack/pull lists.

This office-based position is responsible for the pre-production of assigned events, ensuring all technical elements—from CAD drawings to sub-rentals—are dialed in for a seamless event execution.

JOB DESCRIPTION:

  • Create scale design plots, layers, signal diagrams, and schematics for events using Vectorworks in collaboration with the production team.
  • Generate and manage warehouse pick/pack/pull lists, sub-rental orders, and all required materials and supplies for each event.
  • Revise and update floor plans and equipment lists as needed based on last-minute changes or client demands.
  • Draft floor plans, schematics, samples, and Vectorworks renderings as needed for events in the presales process.
  • Collaborate daily with warehouse staff and management to ensure clear and accurate warehouse orders, serving as a key resource for event-related equipment questions.
  • Support onsite field teams by providing guidance on designs, troubleshooting, and creative solutions in case of emergencies or challenges.
  • Assist Sales with AV logistics, pricing, and technical considerations.
  • Test and validate client-provided show media, responding to client inquiries on behalf of the Sales Team.
  • Develop standardized Vectorworks templates for frequently used venues.
  • Participate in weekly meetings to review upcoming events, production needs, and challenges.
  • Lead pre-production meetings with Sales and field crew to ensure successful event execution, discussing technical details, challenges, creative approaches, and backup options. Update designs based on meeting feedback.
  • Advise on event staffing needs, ensuring the right crew for specific events/clients.
  • Coordinate with co-vendors and venues to obtain critical structural data for safe and accurate rigging and execution.
  • Maintain open communication with warehouse, field, and office teams to streamline production.
  • Manage relationships with sub-rental vendors, ensuring clear and timely communication about order changes and timelines.
  • Check in with the warehouse and event crew via phone or in-person to ensure seamless event execution.
  • Review and accommodate client technical riders, negotiating substitutions when needed while ensuring they align with venue/event requirements.
  • Research and recommend new equipment purchases to reduce rental costs and expand Got Light’s technical offerings.
  • Assist with equipment quality control in the warehouse as needed.
  • Train new hires on equipment operation, tailoring training to individual skill levels. Take on additional duties as assigned and as the role evolves.
