Detailed Job Summary:

The Marketing Manager will support the Marketing and Business Development Department, which includes Proposal, Recruitment, and Business Development. This role requires exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced, deadline-driven environment.

Description of Duties:

  • Act as the central point of contact for assigned proposals.
  • Analyze Requests for Proposals (RFPs) , Requests for Quotations (RFQs) , and Requests for Information (RFIs) to create proposal outlines, compliance matrices, and development plans.
  • Coordinate proposal kickoff meetings to establish timelines and deliverables, and conduct post-submission debrief meetings to identify areas for improvement.
  • Draft, edit, and format proposal documents, Statements of Qualifications (SOQs) , resumes, and other marketing-related materials to align with project-specific requirements.
  • Proofread and standardize content for proper grammar, spelling, style, and compliance with RFP requirements, evaluation criteria, and technical standards.
  • Collaborate with business development, procurement, and construction management teams to create and implement "win strategies" that articulate competitive advantages and align with client expectations.
  • Lead or support the production and timely submission of high-quality bid responses, including creating visually appealing layouts and PowerPoint presentations that effectively communicate project goals and qualifications.
  • Write/edit, reformat, and/or tailor resumes for project-specific requests, ensuring they align with client requirements.
  • Reach out to internal and external personnel to gather and update information (e.g., experience, certifications).
  • Organize and input relevant data into internal systems and databases, ensuring all candidate and personnel information is accurate and up to date.
  • Source, track, and disseminate procurement opportunities to relevant internal team members.
  • Maintain and update progress in Customer Relationship Management (CRM) systems (e.g., Sellsation or Briq) to ensure accurate tracking of leads, proposals, and follow-ups.
  • Conduct market research to identify trends, opportunities, and key information to support strategic planning and client outreach.
  • (As-needed basis) Represent the company at industry conferences, events, and sponsorship opportunities, including staffing the company booth and networking with potential clients and partners.
  • Coordinate meetings, sponsorships, and events, ensuring all logistics are managed efficiently and professionally.

Team Collaboration and Process Improvement:

  • Facilitate brainstorming sessions to develop creative solutions for proposal challenges.
  • Work closely with Business Development, Procurement, and Construction Management teams to align strategies and deliverables.
  • Monitor and ensure proposal content adheres to compliance requirements, evaluation criteria, and technical standards.

Education and Experience:

BS/BA Degree in related field or equivalent experience required

5 Years of related marketing / proposal managements experience

Knowledge, Skills, and Abilities:

  • Graphic Design experience is a plus
  • Knowledge of Adobe Suite InDesign and PDF
  • Adobe Suite Photoshop, Illustrator, etc. a plus
  • Experience in the Architectural, Engineering and/or Construction Industry is a plus
  • Proven attention to detail
  • Ability to multi-task and prioritize competing projects
  • Knowledge of MS Office Suite, including Word, Excel, PowerPoint and Teams required
  • Professional written and oral communication skills
  • Ability to work in a deadline-conscious, results-driven environment
  • Ability to travel in support of meetings, events, conferences, etc.
  • Able to maintain confidential information for the company and within regulatory guidelines required.
