About The Role

Frederic Media is seeking a Media Operations & Finance Associate who is highly organized, data-driven, and business-minded to work with the Publishing Director in all aspects of our multi-media team, including sales & marketing, events & sponsorships, book publishing, finance, and operations. This hybrid position will touch everything from weekly estimates, revenue and payment tracking, sales reporting, and event sponsorship organization to contract submission and finance reporting. The overarching goal of this position is to be an integral part of the media team's mission to improve efficiency and reduce costs while always maintaining the highest level of quality in everything we produce.

To be successful in this role, this individual must possess strong communication and problem-solving skills and be highly organized, detail-oriented, and able to prioritize. High competency in key computer programs, including Excel and PowerPoint, is a must. The ability to manage multiple tasks and stay on deadline are required in this role. Our desired candidate will approach the role with a team spirit, high energy, and a can-do attitude and thrive in a multi-faceted, fast-paced environment.

Responsibilities

Sales Account Systems:
  • Work with Sales Director to process ad sales through our sales account and CRM system & Magazine Manager,
  • Stay up to date on improvements and functionality
  • Revenue Systems: IO and Invoice creation + tracking: Magazine Manager
  • Cash Collection system: Communication with advertisers and tracking of payments; manage Bank reconciliation
  • Sales Operations: Assist Sales Director with sending issues, tear sheets, preparing for meetings, etc
  • Ad Sales Print & digital estimates: Keep tracker updated weekly for all ad sales & positioning charts
  • Track advertisers print edit credits: Share updates at editorial meetings

Distribution Operations - Print Order:
  • Work with FSM to refresh each volume
  • Update lists from all divisions
  • Coordinate comp list

Media Team Operations & Logistics:
  • Monday Boards & Notion: Utilizing these programs, manage calendars, projects, and all team tasks on Pub Strategy Weekly, Production Schedule, Book Timeline and Frederic Marketing Weekly
  • Order office supplies and other items as necessary
  • Attend all team meetings to collect and convey information, prepare agendas for meetings
  • Organize recurring meetings and external meetings

Book Operations:
  • Liaise with The Hub on book fulfillment
  • Work with Publishing Director to process agreements with Monacelli for all book orders, outlining quantity, timing etc.
  • Maintain Book Info & Stats charts, updating as information is received from Monacelli
  • Business development: Work with Finance Manager to gather data for monthly and weekly finance reports
  • Assist Finance Manager on revenue modeling for all divisions
  • Assist in vendor payment: check requests, advance payments, troubleshooting of late/missing payments

Requirements
  • Bachelor's degree - with exposure to business or economics classes and data analysis
  • Experience handling company accounting and sales
  • Strong computer skills, including excellence in Excel, Illustrator, PowerPoint
  • Flexible team player willing to do whatever is necessary to keep office operations flowing smoothly, who looks for opportunities to collaborate
  • Ability to work independently, think creatively to solve problems, and adhere to deadlines
  • Excellent interpersonal skills, including the tact and diplomacy to deal with a variety of colleagues, clients and vendors
  • Comfortable with handling a high volume of assignments and work confidently within a small staff
  • Detail-oriented, adept at problem-solving and possess strong organizational skills
  • Proven ability to multi-task successfully and prioritize work
  • Exhibits a calm demeanor to keep office stress levels under control
  • Display a track record of dependability
  • Superior ability to take direction and execute well

Salary Range

$60,000-$65,000 USD
