Event Experience Designer

Responsibilities (include, but not limited to):

  • During a program's bidding and proposal phase
    • Main POC for Sales and Creative Team
      • Operational, vendors (includes vendor outreach for inventory questions/quantities), venues (includes venue outreach for inventory quantities/event space), interactive elements, custom builds, branding
    • Build out costing sheets and oversee budget development while identifying opportunities for efficiencies and cost savings on all events
      • Responsible for the development of quote line-item details, costing and pricing in alignment with program development vision, sales and creative strategies, and client specifications.
  • Internal Program Handover
    • Program's Initial Costing
      • Create initial costing for your assigned group.
      • Vendor outreach to get all rentals, AV and entertainment on hold.
      • Once the costing sheet is developed, you will turn the file over to the assigned Event Producer.
  • During a program's planning phase
    • Event Producer support
      • If they have any questions regarding branding, installations or custom builds or if you handled anything prior to the program handover call, they might have questions along the way for you
    • Develop a detailed Event Blueprint for each assigned program
    • Create and manage a decor & inventory pull list for each assigned program
  • Research, develop and maintain business relationships with supplier/partners
  • Manage and update vendor/supplier and venue/hotel lists

Qualifications

  • 5+ years of experience in Event Management of corporate meetings, client events, and other complex programs. DMC, corporate incentive travel, hospitality or related experience highly preferred.
  • Excellent interpersonal and communication skills with a diverse group of vendors and coworkers.
  • Ability to multitask and manage multiple events simultaneously under tight deadlines.
  • Strong ability to meet deadlines, recognizing their importance in ensuring the smooth execution of event timelines.
  • Experience creating and managing event budgets.
  • Experience negotiating and managing vendor contracts to stay within budget.
  • Strong attention to detail to ensure budgets and financial costing sheets are accurate and reliable.

Salary: $80,000-85,000
