Position Overview:

We're seeking a highly organized and detail-oriented Visual Production & Design Coordinator to support our creative and production processes. This versatile role will assist with photoshoot coordination, design support, sample management, and various administrative tasks. The ideal candidate thrives in a dynamic environment where priorities can shift quickly and no two days are the same.

Key Responsibilities:Photoshoot Coordination (35%)
  • Assist with model and photographer recruitment and scheduling
  • Coordinate styling, including creating style books and shot lists
  • Manage shoot logistics including location setup, scheduling, and sample preparation
  • Oversee post-shoot organization and contractor invoice resolution
  • Coordinate travel arrangements and logistics
Design & Product Development Support (35%)
  • Assist with sourcing materials and components, particularly for jewelry
  • Support design developments by organizing tech packs
  • Measuring samples and bulk to spec
  • Communicate with factories regarding samples and production requirements
  • Maintain organization of samples, swatches, and lab dips
  • Conduct wash testing on samples prior to bulk production
Sample & Inventory Management (20%)
  • Organize sample sales and warehouse sales events
  • Process, tag, and manage sample inventory
  • Research and coordinate merchandising add-ons for live events
  • Maintain design library of past seasons for reference
Administrative Support (10%)
  • Manage office supplies and organization
  • Assist with wholesale previews and presentations
  • Support social media content creation and customer engagement
  • Support team members with various projects as needed
Required Qualifications:
  • 2+ years of experience in fashion, retail, or related field
  • Exceptional organizational skills and attention to detail
  • Strong communication abilities (written and verbal)
  • Computer proficiency including Excel, Google Suite
  • Basic understanding of apparel design and production processes
  • Experience with content management systems (Trello, Shopify or similar)
  • Ability to work both independently and collaboratively in a small team
