About the State Fair of Texas

Since its inception in 1886, the State Fair of Texas has celebrated all things Texan by promoting agriculture, education, and community involvement through quality entertainment in a family-friendly environment. The State Fair of Texas is a 501(c)(3) nonprofit organization with proceeds helping to preserve and improve our home, Fair Park; underwrite museums, community initiatives, and scholarship programs to support students throughout the Lone Star State pursuing higher education; and help improve State Fair operations.


SUMMARY

The Creative Arts Coordinator for the State Fair of Texas will oversee contestant registration, manage the entry database, and ensure the smooth operation of competitive events (Arts & Crafts and Cooking Contests) for the Creative Arts department. This individual will work closely with Creative Arts participants, the Fair staff and volunteer judges to organize and track all aspects of the competition, from entry submissions to judging and announcing the final results.


DUTIES and RESPONSIBILITIES

Essential and other important responsibilities and duties may include, but are not limited to, the following:


Essential Functions:

  • Assist in the development of all materials related to the Creative Arts contests (contestant handbooks, website, etc.)
  • Manage the entry process from the contest set up in the entry portal to entry management from contest participants. The position is responsible for maintaining an accurate and up-to-date database of all contestant information and entry details. Additionally, the position will work with the accounting team to ensure revenue from entry fees is properly applied.
  • Lead communication with contestants to confirm registration, respond to questions regarding the entry process (rules, entry procedures) on the phone, in person, and via email, and ensure contestants have a positive experience. Assist in ensuring entries meet the eligibility requirements of the registered contest.
  • Oversee the logistics related to contest execution. The position will ensure materials needed to “take in” and judge Creative Arts Entries are built and distributed as scheduled to the team for execution.
  • When judging is complete, supervise the data entry for winning entries and publish the results on the Fair’s website. As well as the data capture of the location of the winning entries in the showcase displays.
  • Create pre and post-contest reporting and departmental metrics.
  • Manage the Creative Arts cookbook and merchandise sales before and during the Fair. Oversee inventory, staffing, and cash management for the sales counter in the Creative Arts building and assist SVP of Customer Engagement with the distribution of cookbooks to the Fair’s merchandise partner.
  • Manage and coordinate the purchase of the supply inventory for the kitchens (Contest and Demo) in the building.
Requirements:

QUALIFICATIONS

  • Understanding and alignment with the core values of the State Fair of Texas.
  • Excellent customer service skills.
  • Detail-oriented with the ability to prioritize between tasks.
  • Communicate clearly and concisely with vendors, Creative Arts contestants, Fair guests, and other staff.
  • Interpret and administer applicable policies and guidelines related to Creative Arts.
  • Proficient in Microsoft Office suite of products – including mail merges.

Preferred Education and/or Experience:

  • High School Diploma or higher level of education.
  • Previous work experience in face-to-face customer service.
  • Previous data entry and database management experience preferred.
  • Previous experience with sales and inventory management.

License or Certificate:

  • Possession of, or ability to obtain, an appropriate Texas driver's license.

SUPERVISION RECEIVED and EXERCISED

  • Reports to the Manager of Creative Arts
  • Works with the supervision of the SVP of Customer Engagement

WORKING CONDITIONS

Environmental Conditions:

  • Working outdoors in various weather conditions and on uneven and/or slippery surfaces, as necessary, especially during Fair time and special events.

Physical Conditions:

  • Essential and other important responsibilities and duties require maintaining physical condition necessary for
  • Remaining in a stationary position for prolonged periods of time.
  • Moving short and long distances to access office supplies, meet guests, perform duties within Fairgrounds, etc.
  • Verbally communicate with both internal and external contacts.
  • Occasionally lift objects no more than 25 pounds unassisted.

  • Varies depending on events.
