The Service Writer plays a crucial role in supporting the service department by managing clerical functions, coordinating work orders, and ensuring efficient communication between customers, technicians, and suppliers. This position requires strong organizational skills, attention to detail, and excellent customer service abilities to facilitate smooth service operations for heavy equipment and crane repairs.

The Service Writer plays a crucial role in supporting the service department by managing clerical functions, coordinating work orders, and ensuring efficient communication between customers, technicians, and suppliers. This position requires strong organizational skills, attention to detail, and excellent customer service abilities to facilitate smooth service operations for heavy equipment and crane repairs.
Key Responsibilities:
Administrative & Clerical Support:
- Prepare correspondence and reports as directed by the Service Manager.
- Perform clerical tasks related to work order management, including opening, closing, and tracking work orders.
- Post labor hours and outside material purchases to work orders accurately.
- Maintain departmental control logs and ensure all documentation is properly filed.
- Assist in completing regulatory reports as required.
- Manage timecards and attendance records for the service team.
Customer & Supplier Communication:
- Act as a primary point of contact for customers, technicians, and suppliers regarding service updates.
- Provide professional and timely communication to customers about service status, estimates, and completion times.
- Ensure all service inquiries and correspondence are received and distributed efficiently.
Operational Support & Compliance:
- Maintain compliance with company policies and safety procedures outlined in the Employee Handbook and Safety Manual.
- Uphold high standards of employee morale and teamwork within the service department.
- Support efforts to maintain strong customer relationships and enhance service efficiency.
Qualifications:
Education & Experience:
- High school diploma or equivalent.
- Previous experience in an office setting, preferably in the heavy equipment, crane, construction, or trucking industry.
Skills & Competencies:
- Strong clerical and keyboarding skills.
- Excellent organizational and time management abilities.
- Strong customer service and communication skills.
- Ability to multi-task and prioritize in a fast-paced environment.
- Proficiency in industry-specific software systems (training provided).
