As an Account Coordinator at We Are BMF, you will support in researching, building, and executing cross-functional programs and integrated marketing campaigns while collaborating with cross disciplinary teams. You are a proven collaborator who is solution and detail oriented. You are an incredibly self-motivated, curious and high energy individual who can function in a high demand, performance driven environment.
You will support in cultivating and maintaining working relationships with new and existing clients across the agency. Headquartered in Miami or New York you will support cross functional programs and campaigns and provide strategic administrative support to the integrated teams. You will maintain a high level of awareness with our client activities and will assist with the day-to-day internal and external account management and administrative needs. You will learn to craft stories for our world-class clients, earning attention from top-tier media.
Key Responsibilities
Account & Project Support:
- Handling day-to-day support needs and providing necessary information to all internal and external teams
- Compiling and managing relevant agendas and select client specific materials for all weekly internal and external calls and meetings
- Compiling and sending detailed notes and action items from internal and external calls and meetings
- Supporting preliminary PR plan development and campaign activation decks, recaps and case studies for integrated teams
- Conducting preliminary competitive and strategic vertical specific research and audits
- Supporting and attending all internal and client status and project meetings / calls
- Working hand-in-hand with PR and account team members to ensure various project elements are met and delivered on time
- Serve as onsite support for events when required
Administrative:
- Managing and supporting meeting cadence and scheduling
- Managing and supporting various personal time and expense tracking
- Compiling and sending weekly, monthly, quarterly and annual PR performance results per client as needed
- Coordinating media and/or team travel logistics as needed
Client Relationship Support:
- Supporting various day-to-day client relationships while learning to build and improve those relationships with key objectives of increasing We Are BMF profitability, delivering on clients goals, while also spearheading best practices and organic growth
- Demonstrable ability to communicate and keep programs and campaigns organized with key stakeholders at all levels
- Maintain proper customer service etiquette in order to endear clients to our integrated services
Media Relations Support:
- Compiling and meticulously maintaining media lists and developing relationships with editorial and integrated contacts
- Scanning for timely news, client coverage and competitor activities online, in print, on broadcast and on social on a daily basis as well as providing weekly reports to clients as needed
- Drafting and sending pitches, media alerts and other editorial communications
- Clipping, tracking and sharing press hits for clients on a daily basis
- Coordinating sample send outs, packaging boxes and creating labels as needed
- Vetting inbound media opportunities
Requirements
- 1-2+ years of proven experience as an Account Coordinator, or proven strength of internship experience
- Innovative, creative thinking skills to ensure the organization is providing a cutting edge client experience
- A proven problem-solving aptitude to assist with day-to-day Client Services needs
- Superior organizational and time management skills, and ability to meet deadlines
- Excellent communication skills
- A client or customer-oriented attitude
- Ability to work well with an integrated team
- Reliable and self motivated
- Strong PC and Mac computer literacy – including expertise in Keynote, Excel and Outlook, Google Docs
- Calm, polite, and professional attitude
- A Bachelor’s degree
- Ability to travel when required
