Job Overview

VanDyk Mortgage is seeking a detail-oriented Marketing Administrator to support our marketing operations and Loan Officers. This role plays a crucial part in ensuring data accuracy, task completion, and streamlined communication within our marketing team. The ideal candidate will have strong organizational skills, experience working with CRM systems, and the ability to manage multiple responsibilities efficiently.

Key Responsibilities

  • Data Management & Reporting
    • Reformat and organize Excel reports for clarity and usability.
    • Manage quarterly reporting for marketing performance and Loan Officer engagement.
    • Track and report corporate metrics, ensuring data integrity.
    • Oversee CRM data hygiene, updating contact records to reflect the most recent information and archiving outdated contacts.
  • Loan Officer Support & Task Management
    • Follow up after weekly calls with Loan Officers, ensuring action items are assigned and completed.
    • Assign tickets and manage requests efficiently.
    • Track task completion within the CRM (e.g., ensuring calls are logged and reported).
    • Monitor and review focused views, tasks, and email engagement stats to help Loan Officers identify top opportunities.
    • Attend calls with Loan Officers and follow up on key tasks and takeaways.
  • Co-Marketing Support
    • Add co-marketing partners to Total Expert and maintain accurate contact records.
    • Send co-marketing invitations and follow up to ensure engagement.
    • Track and update co-marketing records to reflect the most current data.
  • General Marketing Support – Assist the marketing team with various administrative and operational tasks as needed.
  • Audits & Compliance – Conduct regular audits of marketing materials and databases to ensure accuracy and consistency.
  • Events Administration – Support event-related administrative tasks, such as managing RFPs, without overseeing full event planning.
  • Project Coordination – Support marketing projects and initiatives by tracking deadlines, managing deliverables, and ensuring smooth execution.
  • Marketing Asset Management – Assist with organizing and maintaining marketing collateral, ensuring all materials are up to date and accessible.
  • Proofreading & Quality Control – Review marketing materials, emails, and reports for accuracy, clarity, and compliance before distribution.

Requirements & Qualifications

  • Proven experience in administrative, marketing, or CRM-related roles.
  • Strong proficiency in Excel and data management.
  • Familiarity with CRM systems (Total Expert experience preferred).
  • Excellent organizational and time-management skills.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Effective communication skills, both written and verbal.
  • Ability to work independently and collaboratively within a team.
