Our Incentive Trips & Travel department has an exciting opportunity for a full time Event Planner II based in our Irvine, CA office! Reporting to the Incentive Event Supervisor, you will lead the development and execution of incentive programs, plan once-in-a-lifetime, large-scale, multi-day reward trips both domestically and abroad, and provide on-site support to ensure an amazing guest experience.

This position is full time, in-office only.

General Responsibilities

  1. Lead the development and execution of incentive programs, including the planning and delivery of multi-day domestic and international trips, meetings, and events that provide memorable experiences.
  2. Research destinations—covering site selection, pricing, passport and travel requirements, tourism details, and customs regulations—to ensure seamless planning.
  3. Demonstrate comprehensive knowledge in booking travel, managing logistical operations, and coordinating event details.
  4. Design "once-in-a-lifetime" trips and recommend unique on-site activities and excursions for attendees.
  5. Coordinate award travel trips on both national and international levels for managerial and senior-level employees.
  6. Partner with the creative team on program branding and collateral development.
  7. Develop and monitor travel and event budgets, ensuring expenses stay within established boundaries.
  8. Review financial information for accuracy and assist with the preparation of financial reports for the team and department.
  9. Provide on-site support during incentive trips, offering feedback to the team and ensuring exceptional customer service.
  10. Supply travelers with pertinent information and useful materials, such as guides, maps, and event programs, while delivering the best value in terms of savings and service.
  11. Maintain flexibility and readiness to travel internationally for extended periods (1-2 weeks at a time).

Work Schedule + Benefits

  1. Full-time, Exempt
  2. Pay Range: $77,000 - $94,000
  3. Office Hours in Irvine, CA: Monday-Friday, 8:00 am-5:00 pm
  4. Department needs will call for occasional evenings and weekends

Travel Requirements

  1. Both domestic and international travel required
  2. Travel time: It is anticipated that 30% of the work time will be spent in the field
  3. Requires overnight and weekend travel, out of state, and out of country travel
  4. Travel time: Will go on extended trips that last 1-2 weeks at a time (some international trips may last up to 16 days)

Qualifications

  1. Bachelor’s degree in Event Management, Hospitality, or a related field preferred.
  2. Professional credentials such as Certified Special Events Professional (CSEP) or Certified Meeting Professional (CMP) are a plus.
  3. 3-5+ years of hands-on experience managing incentive programs, reward, and award travel events.
  4. Proven experience planning trips for large groups (ranging from 50 to 2,000 employees) on both national and international levels. Prior in-house corporate event planning experience is a plus.
  5. Experience in designing and executing complex, multi-day programs, including meetings, conferences, and events.
  6. Exceptional written and verbal communication skills, with the ability to interact with all levels of management and external partners.
  7. A strong history of delivering outstanding customer service, with proven ability to proactively solve problems and troubleshoot on-site.
  8. Demonstrated creativity in designing "once in a lifetime" trips and recommending unique onsite activities and excursions.
  9. Highly motivated, organized, and capable of managing multiple projects simultaneously.
  10. Experience negotiating contracts, managing budgets, and preparing detailed financial reports.
  11. Strong analytical skills to ensure accurate financial oversight and effective budget management.
  12. Proficiency in Microsoft Office (Word and Excel) and online registration platforms such as Cvent (or similar systems).
  13. Familiarity with project management tools like Asana is a plus.

Work Location Details

In-N-Out Burger plans to bring its west coast headquarters team back together under one roof by the end of 2029. After maintaining two Southern California office locations for many years, the company will permanently close its Irvine office in 2029 and once again headquarter the company’s western territory solely in Baldwin Park, California, where the company was founded in 1948. Newly hired Associates in Irvine will be eligible to participate in the group move to Tennessee with relocation assistance or work from our western headquarters in Baldwin Park, CA, upon its opening in 2029.
