The USF St. Petersburg campus is a branch campus of the University of South Florida. Situated on 52 acres of waterfront in the heart of downtown St. Petersburg, USF St. Petersburg offers an intimate experience with the benefits of attending a large institution. The Nelson Poynter Memorial Library (NPML) on the USF St. Petersburg campus is a closely integrated library within the USF Libraries. NPML is an airy three-story building; natural light comes through the many south-facing windows that overlook the sparkling waters of Bayboro Harbor.
Position Summary
The Manager, Library Operations for the Access Services unit at the Nelson Poynter Memorial Library on the USF St Petersburg campus coordinates user services at the centralized library services desk, and provides oversight of stacks maintenance, interlibrary loan, and building security procedures. The person in this position supervises four staff (FTE) and four to ten student employees, coordinating their activities to provide excellent, current user-centered services. The Manager provides leadership, administrative management, and supervision of the day-to-day operations and performance of the access services unit staff, oversight of the library’s user spaces, and supports user access to collections. The collegial access services team support the library and one another providing services at the central desk and responding to student, faculty, and guest inquiries and needs. The Manager, Library Operations for Access Services coordinates the activities of staff and student workers, including through the creation and management of staff schedules at the desk and shifts through weekday, late night, and weekend library operations. The Access Services team assist library users with checking out material and equipment, reserving study rooms, helping with interlibrary loan requests, maintaining the stacks, reporting building issues to the library operations coordinator, and ensuring users are aware of policies and services. The Operations Manager is flexible to meet the changing needs of the facility, including by participating in the planning and implementation of new services, technologies, and building renovations. This position serves as essential personnel in times of emergency. The Manager, Library Operations reports to the Assistant Director of Discovery & User Services.
Responsibilities
- Provides leadership, hiring, supervision, training, and guidance for the access services team, including identifying opportunities for supporting and providing ongoing education and professional development of team members.
- Monitors staff workloads, evaluates performance and progress towards achieving library and university goals.
- Manages and supports access services employees, while also participating in overall operations of the department, specifically circulation, stacks maintenance, and patron needs.
- Coordinates communication on library hours of operation with campus partners, and creates and maintains the service desk staff schedules. Flexes schedule as required to ensure adequate desk and building coverage.
- Provides training, supervision, and oversees billing for lost books and overdue fines.
- Oversees interlibrary loan lending and borrowing and ensures the shipping and receiving of materials. Addresses, refers, and/or resolves and follows up with complex patron issues.
- Oversees physical stacks maintenance shelving, re-shelving, shifting and other quality control projects. Provides training, supervision, and coordination of reference support and referrals to librarian liaisons, and all customer service needs.
- Collaborates with library colleagues on projects and goal setting and implementation, including for the development and implementation of policies and procedures in collaboration with Tampa and Sarasota-Manatee campus colleagues as appropriate.
- Documents and communicates new or revised policies and procedures to appropriate staff, faculty or community members.
- Coordinates and collaborates with staff to collect, analyze, prepare and communicate statistical reports relating to access and user services. Assists library leadership in the planning of future services, technologies, and renovations.
- Works with Coordinator of Library Operations for building security and facilities oversight, including communicating needed work orders.
- Serves on university and library committees as appropriate.
Position Qualifications
Minimum
- A high school diploma and six years of professional library experience. Appropriate college coursework may substitute for the required experience.
- Demonstrated experience providing excellent customer service, preferably in a library environment.
- Demonstrated flexibility and willingness to adapt to new technologies, workflows, and emerging service models.
Preferred
- 3-5 years' experience in at least one area of access and information services such as circulation, stacks maintenance, information desk, or interlibrary loan services.
- Supervisory experience.
- Knowledge of online database searching and technology skills, including Microsoft Office Suite, and familiarity with integrated library systems, such as Alma.
- Excellent communication, team-building, problem-solving and critical thinking skills and demonstrated ability to coordinate services and schedules.
- Demonstrated ability to establish priorities, assign work, and ensure proper completion of work assignments.
- Technical literacy in use of library technology.
- Ability to adapt to a changing work environment.
