The Role and What You'll do

The Associate Producer (AP) will be the right hand to the Production team, assisting the Senior Producers and Executive Producer in the day-to-day admin of the workflow and logistics within the production department as well as within the Agency itself. The AP will be heavily involved in the management and execution of a campaign’s lifecycle from preproduction through delivery and wrap. The AP will be reporting to the Senior Producer with a dotted line to the Executive Producer and will be in close collaboration with the other departments at the Agency.

While duties may shift depending on the project’s needs, the AP will help execute production across multiple channels including television, video, radio, digital, print, and OOH materials. The AP will also work closely with the creative department and account team relaying relevant information as it comes in and keeping them abreast of all updates and needs. The AP will be the team’s anchor on all proofreading and copyediting for production documents, creative decks, and budgets before anything is posted externally. The AP will also be responsible for organizing and storing all documents, contracts, project files, data, and working files, both digitally on the Agency’s cloud and physically at the Agency’s offices. The AP will be involved in all communications and logistics with third party vendors, production companies, and internal teammates including the operations and finance teams.

The AP will gain a fuller understanding of creative agency workflow, production budgeting, scheduling, nonunion and union payroll practices, and postproduction delivery processes. Opportunities will eventually arise where the AP will take the lead on smaller shoots/campaigns/projects after a period of training. This role will be based in Beverly Hills with a hybrid schedule of 2-3 days a week in the office.

Responsibilities:

  • Proofread and organize all production related paperwork, such as vendor agreements, talent contracts, creative and production decks
  • Assist producers and EP in execution and delivery of video, radio, and photography assets
  • Assist in vendor onboarding, receipt reconciliation, and budget updates
  • Keep Finance and Operations abreast on both ingoing and outgoing invoices/payments
  • Coordinate client meetings, recording & edit sessions, travel, and internal agency meetings
  • Assist in the quality control, trafficking, and delivery of all deliverable assets
  • Work with Business Affairs to finalize contracts, talent payments, and network clearances
  • Assist in sourcing and booking a diverse range of collaborators (i.e., directors, editors, photographers, animators, makeup artists, wardrobe stylists, production designers, etc)
  • Maintain and organize existing database of available audio and video resources (i.e. production company, sound engineering houses, postproduction studios, etc.)

Qualifications:

  • 1-3+ years in the industry with a creative agency or production company (or similar) experience
  • Excellent organizational prowess
  • Clear written and verbal communicator
  • Strong proofreading and copy editing for English language copy
  • Ability to seamlessly multitask across multiple projects and departments
  • High proficiency in Excel/Sheets and Powerpoint/Slides is preferable

Hiring Range Minimum: $68,640 annually

Hiring Range Maximum: $85,000 annually
