GENERAL PURPOSE

Working under the supervision of a Librarian or the Library Director, this position assists in overseeing an assigned area of the Library, including but not limited to, administration, adult services, cataloging, children's services, circulation, materials processing, or teen services. In addition, this position provides staff support for general, routine clerk duties as needed to assist delivery of public library services for the city.


ESSENTIAL FUNCTIONS

Assists with an assigned area of the library and may assist with the following responsibilities, based on the assigned area:

General Responsibilities (for all positions):

  • Acts as the shift supervisor during designated shifts or in the absence of the Librarian;
  • Assists with managing and adjusting the schedule for employees within the division;
  • Attends to a designated service desk in the Library;
  • Assists patrons in locating books and materials and providing reference services;
  • Instructs patrons on library policies and procedures;
  • Assists patrons using public computers, copiers, or printers;
  • Checks out library materials;
  • Collects fines and fees from patrons;
  • Monitors their assigned area of the library, including organizing and tidying up public spaces and shelved materials, and addressing behavioral issues;
  • Provides basic assistance to patrons using public computers, video game consoles;
  • Locates items that are on hold;
  • Conducts new-hire and ongoing training for staff within their division
  • Assists with developing policies and procedures for division responsibilities and tasks;
  • Other duties as assigned;
  • Schedule: Works at least 1 Saturday shift every 7 weeks

Administration:

  • Updates the events calendar, website, and social media for library-wide events and services
  • Develops training materials and user guides
  • Assists with planning and organizing department staff events
  • Orders department uniforms
  • Organizes the staff area and maintains inventory for general office supplies
  • Develops and distributes marketing materials, including library newsletters, mass emails, and signs
  • Assists with the development and maintenance of the video game collection
  • May act as the shift supervisor in the absence of the Library Director or Librarian

Adult Services:

  • Assists with collection development and maintenance for a portion of the Adult collection;
  • Manages study and conference room use;
  • Assists with Adult programming and community outreach;
  • Uses graphic design tools to create advertisements for the division;
  • Sets up and maintains displays and creates finding aids;
  • Assists with tracking special items in the division, such as book club sets, library of things items, naloxone, and gun locks;
  • Schedule: This position is required to work at least one evening each week and at least one Saturday per month;

Cataloging:

The Assistant Librarian supports the Catalog Librarian by performing original and copy cataloging for various materials, including print, non-print, and digital resources. Key responsibilities include:


  • Cataloging materials with user accessibility and discovery in mind;
  • Managing and updating MARC records in the library's ILS (Koha);
  • Applying controlled vocabularies such as Library of Congress name and subject authorities;
  • Participating in metadata creation, catalog maintenance, inventory, and quality control;
  • Updating, streamlining, and improving cataloging processes to enhance accuracy and efficiency;
  • Documenting cataloging procedures and adhering to cataloging standards and best practices;
  • Assisting with supervising the Page team in collaboration with the Catalog Librarian and Lead Pages;
  • Supporting one additional division (Circulation, Adult, or Teen Services) for one clerk shift per week.

Children's Services:

  • May assist with collection development and maintenance for a portion of the Children's or Tween collection;
  • Works with the Librarian to oversee decorations in the Children's area;
  • Maintains the children's Library of Things collection, including backpacks, games, book players;
  • Provides basic assistance to patrons using public computers, prizes for reading programs and helps with events and programming.
  • May use graphic-design tools to create advertisements for the division;
  • Sets up and maintains displays;
  • Assists with and prepares children and tween programs;
  • Schedule: This position works primarily mornings and afternoons.

Circulation Services:

  • Registers patrons for library cards and instructs them on library policies and procedures;
  • Assists with maintaining patron accounts
  • Checks in library materials and inspects for damage;
  • Assists with library book sales;
  • Answers and directs incoming phone calls, text messages, and emails;
  • Manages interlibrary loan requests, items belonging to other libraries, items paid for by patrons, and missing items;
  • Supervises room reservations for the Heritage Room
  • Trains staff on library systems and technology
  • Assists with conducting inventory of library computers and tech
  • Schedule: This position is required to work at least one evening each week

Technical Services:

  • Checks in library materials and inspects for damage;
  • Segregates books and other materials needing repairs;
  • Repairs and labels materials;
  • Prepares new materials for circulation;
  • Locates items that are on hold;
  • Establishes guidelines for processing and repairing materials;
  • Assists with training and evaluating staff assigned to this division;
  • Schedule: This position's schedule includes mornings, afternoons, and evenings.

Teen Services:

  • Assists with collection development and maintenance for a portion of the Teen collection;
  • Manages use of the sound recording room and provides basic training and assistance;
  • Provides basic assistance to patrons using public computers, video game consoles;
  • May use graphic-design tools to create advertisements for the division;
  • Sets up and maintains displays;
  • Assists with teen programming;
  • Schedule: This position works primarily afternoons and evenings.

POSITION QUALIFICATIONS

  1. Education and Experience:
    1. Associate's degree and two (2) years library experience required; Bachelor, MLS degree, or Library certification preferred; or equivalent of education and experience.
  1. Necessary Knowledge, Skills and Abilities:
    1. Computer knowledge, speed and accuracy are essential for individuals in this position.
    2. Working knowledge of library methods, practices, and procedures, including the Dewey Decimal system.
    3. Ability to perform clerical functions quickly and accurately.
    4. Understand and follow written and oral instructions in English and work independently in carrying out work assignments;
    5. Communicate effectively verbally and in writing.
    6. Must be able to professionally handle various patron interactions;
    7. Operate various computers, office machines and equipment;
    8. Commitment to provide the highest level of service to all library users through appropriate and usefully organized resources; equitable service policies; equitable access; and accurate, unbiased, and courteous responses to all requests.
  1. Physical Requirements
    1. Performs duties that may include physical effort, such as pushing or pulling a loaded book truck, lifting, bending, stooping, climbing, and walking;
    2. Occasionally may lift/carry materials up to 40 pounds;
    3. May sit or stand for long periods of time.
  1. Other Requirements:
    1. Able to work one evening shift per week and one Saturday shift per month
    2. Must abide by all City and Library policies and procedures;
    3. Establish and maintain effective working relationships with fellow employees
    4. Must be able to meet attendance and punctuality requirements for this position;
    5. The ability to speak and write in Spanish is preferred.
