Responsible for planning and executing event and experiential marketing programs. ***Our headquarters are in Stamford, CT, but the location of this position can be flexible with a priority given to candidates open to hybrid work (3 days a week in the office) in one of our office locations - - Stamford, CT, New York, NY, Charlotte, NC, Atlanta, GA, Chicago, IL, or Los Angeles, CA.*** We are seeking a detail-oriented and proactive Event Executive to support our marketing event tour operations. This role is critical in managing vendor relationships, securing event insurance, and overseeing procurement processes to ensure seamless execution of events. The ideal candidate will have experience in event planning, contract negotiation, and logistics, with a strong ability to manage multiple moving parts in a fast-paced environment. THE WORK YOU’LL DO Source, negotiate, and contract with vendors including venues, caterers, production teams, and equipment suppliers Maintain strong relationships with vendors to ensure timely and high-quality service delivery Manage vendor performance and troubleshoot issues to maintain event integrity Ensure all vendor contracts align with budgetary and legal requirements Coordinate and secure necessary event insurance, including liability coverage and other required policies Ensure compliance with local, state, and federal regulations, including permitting and licensing Work with legal and risk management teams to assess and mitigate potential event risks Maintain organized records of insurance certificates, contracts, and compliance documents Oversee procurement of event materials, merchandise, and other necessary supplies Track budgets, invoices, and expenses to ensure cost-effective purchasing Source and evaluate competitive bids from suppliers and negotiate pricing and terms Maintain inventory control and manage logistics for event shipments THE BIGGER TEAM YOU’LL JOIN Recognized as one of the “Best Places to Work in Sports”, Octagon is the global sports, entertainment, and experiential marketing arm of the Interpublic Group. WHO WE’RE LOOKING FOR 1-3 years of experience in event management, vendor relations, procurement, or a related field Strong negotiation skills with the ability to secure favorable terms and pricing Knowledge of event insurance requirements and risk management best practices Exceptional organizational and multitasking abilities Excellent communication and interpersonal skills to build and maintain vendor relationships Proficiency in Microsoft Office, Google Suite, and event management software Ability to travel as needed for on-site event execution and vendor meetings Flexibility and willingness to travel domestically and work weekends or holidays as needed. Anticipated travel level: Moderate (20-45%) This position pays $40,000, is overtime-eligible and comes with a comprehensive benefits package.
