Who is the Bid/Proposal Writer:

The Bid/Proposal Writer works within Flowbird America’s teams supporting our Parking and Transit BU’s. You have a strong background in proposal writing working with sales and marketing, in addition to excellent writing, communication, and project management skills to develop compelling proposals that align with our clients' needs and company guidelines.

Responsibilities:

  1. Coordinate all activities needed to prepare and submit proposals, following the established company proposal development processes and procedures;
  2. Ensure that RFPs are assessed and responded to on time and to the quality expected, in accordance with the company’s proposal development process;
  3. Create RFP summaries and proposal outlines based on RFP documents;
  4. Liaise and work with the relevant departments across the business units as required to gain the subject matter expert input;
  5. Write proposal content while incorporating information from source documents such as technical specifications, procedure and policy documents, and other sources of information, previous proposals as well as inputs from others. This includes editing the document for clarity, grammar, spelling, flow, style and consistent use of terms, titles, etc.;
  6. Complete all required forms that will be included with a proposal;
  7. Ensure all RFP clarifications are assessed and responded to proactively during the RFP lifecycle;
  8. Produce, package and ship/send printed and digital copies of proposals, in accordance with the RFP instructions, ensuring on-time delivery;
  9. Properly file/archive proposals and the related proposal preparation files in accordance with established practices;
  10. Update the bid library, to include the required content for future bids and keep this library up to date. This includes collecting information, developing and maintaining company customer profiles/reference contacts for inclusion in proposals;
  11. Maintain and update company performance statistics and other relevant metrics for inclusion in proposals.

Other technical document preparation:

  1. Collaborate with document requestors (e.g. sales, project management, support services, etc.) to define the scope and content of the requested document;
  2. Write document content while incorporating information from source documents such as technical specifications, procedure and policy documents, and other sources of information. Including editing the document for clarity, grammar, spelling, flow, style and consistent use of terms, titles, etc.;
  3. Manage the review of the document by the relevant subject matter experts and obtain their approval before finalizing the document;
  4. Prepare the document for publication and publish, as may be required.

Skills/Competencies:

  1. Superior writing, grammar and vocabulary skills;
  2. Strong knowledge of information technology concepts and systems;
  3. Expert editorial (editing) skills;
  4. Demonstrated pre-planned and structured approach to completing assignments;
  5. Effective communication with all levels within the company as well as public officials;
  6. Excellent interpersonal skills.

Education/Experience:

  1. Bachelor's degree in Business, communication or related field;
  2. Advanced user of Adobe Acrobat;
  3. Advanced skills in Microsoft Office and Google Suite;
  4. Experienced presenting in front of a crowd;
  5. 2+ years experience and success as a proposal writer or a technical writer;
  6. Experience in the mass transit and/or parking market, strongly desired;
  7. General knowledge and understanding of Business to Government (B2G) formal tendering processes, specifically as applied to local and state government organizations.
