SUMMARY: The Senior Communications Administrative Specialist provides administrative support for the Executive Director of Marketing and Communications. This person will gather and present information and make recommendations regarding a variety of administrative matters. They will provide translation and interpreting services for the District at public events, including Governing Board meetings. This position works collaboratively with members of the Safety Division, Marketing & Communications Department, Student & Family Services Division, as well as school- level administrators to ensure the most current, accurate, and clear information is delivered to those we serve during an emergency. This person exercises considerable discretion regarding District policies and procedures and maintains the highest levels of confidentiality.

ESSENTIAL FUNCTIONS

Provide administrative secretarial services to the Marketing & Communications Executive Director, including managing activities, screening calls, and scheduling meetings. Translates documents and provides interpreting support from English to Spanish for various departments. Creates and sends clear, accurate, and immediate internal and external communication and ongoing updates to our students, staff, and community in the event of an emergency, crisis, or threat to a school or district property. Answers parent calls for concerns and emergency calls for service; interacts with and provides assistance to parents, staff, and members of our community with accurate information and follow-up if necessary. Manages ongoing campaigns to gather the most up-to-date parent contact information. Communicates and shares clear messages and talking points for school and district-level personnel interacting with the community during emergencies. Creates and delivers proactive and informative messages, posts, emails, and flyers that reinforce the safety and well-being of our students, staff, and family as our highest priority. Attend all public meetings and forums, including Governing Board meetings, retreats, and in-services to provide translation and live interpreting services for English and Spanish as needed. Assist in maintaining the District's social media platforms and website. Interview callers, exercise judgment, and provide information according to established procedures. Perform specialized duties independently or under the guidance of the Executive Director, interpreting and applying rules and regulations. Screen visitors, answer telephones, make appointments, and schedule committee meetings. Compose and edit communications between the Executive Director and various stakeholders. Prepare and maintain a variety of materials, reports, and records, ensuring confidentiality, and respond to requests for information regarding District programs, policies, and procedures. Assist in budget preparation, maintain budget, and prepare budget variance reports. Train and provide work direction to departmental staff, ensuring compliance with established procedures. Supports the relationship between the Phoenix Union High School District and the public by demonstrating courteous and professional behavior when interacting with students, parents, visitors, and school staff; maintains absolute confidentiality of work-related issues, client records, and school information; follows Governing Board Policies; performs all other related duties as required or assigned. REQUIRED QUALIFICATIONS

Education, Training, and Experience Guidelines:

High School diploma or GED equivalent and five years of secretarial, office management, or equivalent experience required Job-related associate degree preferred License and Certification Requirements:

Must possess a valid Arizona Department of Public Safety IVP Fingerprint clearance card within 90 days of employment. Must possess Spanish/English Interpretation Certificate within 120 days of employment

IDEAL CANDIDATES WILL HAVE THE FOLLOWING KNOWLEDGE, SKILLS, AND ABILITIES

Ability to speak, write, translate, and interpret English/Spanish with high precision and accuracy Knowledge of basic layout and design software Ability to learn digital communication to include websites and social media Ability to type accurately at a rate required to accomplish duties effectively at a minimum of 60 wpm in English and Spanish Knowledge of related District and Program policies and procedures preferred Good command of English and Spanish languages, and ability to compose letters, and reports using correct grammar, spelling, and punctuation Ability to maintain confidentiality Ability to connect with the rest of the team in a collaborative environment Ability to plan, organize, and schedule projects Ability to operate office machines; computer skills and knowledge of various software programs Ability to set up and maintain records and prepare reports independently Ability to communicate effectively both verbally and in writing in English and Spanish Ability to provide excellent customer experiences, including but not limited to interacting tactfully and courteously with the public Commitment to create and sustain a thriving learning and working environment for students and staff.
