A Brief Overview

The Administrative Assistant supports the Department by coordinating meetings, answering phone calls, attending to visitors, managing incoming and outgoing mail, preparing tables, reports, and letters, and managing client inquiries.

What You’ll Need to Succeed

  1. Coordinates unit calendars, meetings, and conference calls with internal and external clients as needed.
  2. Answers inquiries and transfers incoming calls, maintaining an appropriate service level.
  3. Keeps the client informed about their inquiry status and clarifies any related doubts or differences.
  4. Receives client inquiries such as investigations, claims, and services, resolving or routing their petitions and supporting the process.
  5. Attends to visitors and other staff, maintaining an appropriate service level.
  6. Creates spreadsheets; composes correspondence and documents using Microsoft Word, Excel, and PowerPoint applications.
  7. Transcribes (Spanish and English) letters, memos, electronic mails, proposals, reports, and other related documents, reviewing submitted materials and documents for format, content, and grammar.
  8. Provides assistance and/or prepares reports, statistics, graphics, tables, and presentations as requested.
  9. Prepares, proofs, and processes travel and credit card expenditures.
  10. Scans files and retrieves Corporation’s documents, records, and reports.
  11. Establishes and keeps records, organizes, and administers the file system.
  12. Disseminates information by phone, mail services, and electronic mailing, in compliance with the corporation guidelines and procedures.
  13. Manages the incoming and outgoing mail for the Department.
  14. Manages and maintains office supplies inventory, equipment, business forms, and other resources for the Department/Unit; also prepares purchase requisitions as needed.
  15. Provides support to management in administrative duties such as employee attendance records, employee compliance with required training, and keeping updated employee-related data in the information system.
  16. Daily monitors the employees’ compliance with institutional norms like attendance, clothing, service quality, and behavior.
  17. Assists management in general duties as requested.
  18. Develops and runs special projects requested by management.

Competencies

  1. Comprehend English and Spanish.
  2. Interpersonal communication skills.
  3. Knowledge of administrative and clerical procedures such as word processing systems and filing.

What You’ll Need

Bachelor’s Degree in Business Administration, Secretarial Sciences, or Office Administration and three to five years of experience. The incumbent must write, speak, and comprehend English.
