GENERAL FUNCTION:

Support USG-hosted meetings and events by coordinating logistics, including agenda development, location setup, attendee invitations, and travel arrangements. Provide on-site administrative support for CONUS events, including graphics preparation, facilitation, and protocol support. Assist with post-event actions, ensuring follow-up requirements are met by Government personnel. Develop, maintain, and update Directorate/Division/Program schedules and calendars. Ensure consistency and accuracy across multiple calendars, ensuring all personnel have the most up-to-date information. Provide temporary administrative support by physically relocating to the PEO Training Directorate front office as needed. Assist in the planning, formulation, and publication of program documentation, directives, reports, briefings, and other presentations (technical and non-technical, classified and unclassified). Support internal and external briefings, utilizing PC software applications to produce visual aids, graphs, and charts. Maintain Operating Instructions (OIs) and self-inspection checklists for the Directorate. Assist in verifying administrative processes and managing a tracking system for identifying and correcting deficiencies. Support unit compliance and operational readiness inspections, as well as emergency management program execution. Support the establishment and maintenance of master files, file plans, and records management systems to track and resolve operational issues. Utilize Air Force Records Information Management Systems (AFRIMS) and Electronic Records Management (ERM) systems for record searches and compliance. Assist with the suspense tracking system, providing weekly updates on pending tasks. Ensure accurate assignment and completion of suspense using applicable software tools, including ACS suspense tasks and SOCCER automated tracking. Act as the focal point for gathering and preparing materials for staff meetings. Provide support in editing, formulating, and publishing program documentation, reports, and presentations. Use computer applications to produce specialized products, including databases, spreadsheets, graphics, and automated forms. Provide administrative assistance to the Management Operations Division and personnel. Assist with Freedom of Information Act (FOIA) and Privacy Act information requests. Support in- and out-processing of personnel and manage mail systems (classified and unclassified), including shipping and receiving. Update staffing records, prepare organizational charts, and maintain emergency response rosters. Assist with the Directorate's supply program, including ordering, receiving, and distributing office supplies and equipment. Support the operation of facsimile and video teleconferencing (VTC) equipment, including scheduling and ensuring connectivity. QUALIFICATIONS:

Education/Certifications/Experience/Skills:

MA Degree

and at least 10 years of experience in the related field, 5 of which must be with the DoD, OR,

BA Degree

and at least 12 years of experience related to the position requirements, 5 of which must be with the DoD, OR, 15 years of directly related experience, 8 of which must be with the DoD. Must

possess and maintain government security clearance at the Secret Level. Must

be able to perform functional duties independently. Must

be proficient in the use of Microsoft programs (including Excel, Word, Outlook) Must

be able to transport self to various facility sites, as required. If using own motor vehicle, must possess a valid driver's license and proof of insurance
