Summary

We are looking for an Sr. Event Planner. The Sr. Event Planner is a natural leader who enjoys leading large events projects with many moving parts. They are strategic, big picture thinkers but can keep the team organized and on track. They love seeing events of all kinds – meetings, incentive trips, conferences – come to life.


The Sr. Event Planner has 8+ years experience designing and executing complex events with many attendees and substantial budgets. They should have equal experience managing client relationships and acting as the main point of contact on the account.

As the team lead, this person will oversee all elements of the event lifecycle from project timeline development, to budget management, to onsite execution. They will do hands-on planning in agenda design, meal function development, activities, gifting, vendor management and onsite execution planning. Serving as the client point of contact, they will oversee preparation for and lead client calls. The ability to quickly adapt plans and communicate with all stakeholders with clear messaging is essential.


You’ll spend your days on the following:

  • Collaborate with the design & purchasing team on concept development for a variety of events.
  • Oversee all elements of planning including agenda design, hotel/venue space planning, food & beverage, transportation, activities, gifting, etc.
  • Deliver poised project presentations with updates and/or ideas to clients and stakeholders.
  • Develop a project timeline with due dates and clear accountabilities (and manage throughout planning on internal project management system).
  • Source and oversee all vendor partners needed on the project.
  • Make consistent budget updates throughout and communicate financial updates to the client.
  • Lead internal strategy & planning meetings.
  • Lead the preparation and delivery of consistent client status calls.
  • Lead or participate in brainstorming sessions.
  • Source and manage vendors and adeptly control contract negotiations.
  • Create plans for large onsite teams of staff, contractors and vendors.
  • After the project, process all billing and complete post-project reconciliations.
  • Take active role in staff meetings.
  • Travel approximately 30 percent of the year on site visits and event execution.

What you need to be successful in this role:

  • 8+ years experience in event planning with client relationships (agency environment preferred)
  • Natural leader with clear communication
  • Understands the value of accuracy and attention to detail
  • Multi-tasker that can re-prioritize quickly
  • Ability to work with many different personalities and styles of work
  • Poised and professional in all communication (written & verbal)
  • Self-starter & resourceful

Location

* Role may be performed remotely in select states. If located near an office location, the expectation is to be on-site in a hybrid capacity.
