Job Summary

The GBCVB is seeking a highly organized and detail-oriented administrative professional to join its Sales Team as a Sales Promotion Coordinator, supporting its mission to position the Greater Birmingham Region as a premier destination for conventions, sporting events, and domestic and international leisure travel. The Sales Promotion Coordinator will be responsible for coordinating and supporting sales efforts with administrative support on projects and correspondence with clients and client events, as well as coordinating projects with the marketing, tourism, and sports departments at the GBCVB. This position provides high level administrative support to the Convention Sales Division.

Reports to: Senior Vice President/Director of Convention Sales

Interacts with: All staff and industry representatives

Essential Job Functions

  1. Perform administrative and clerical functions; Handle correspondence with customers and staff as needed
  2. Take part in administrative meetings to ensure effective communication and follow-through
  3. Take initiative on requests and inquiries of administrative nature
  4. Maintain office supplies, equipment, and sales inventory
  5. Assist with events, receptions and special projects by coordinating RSVP’s, nametags, and general event support
  6. Assist with planning site visits, FAMS, Customer Advisory Board Meetings, & Birmingham/Huntsville events
  7. Prepare quarterly travel itineraries and create site visit itineraries; email “Getting to Know You” forms to clients
  8. Assist in any need for the Six in the City events in Chicago and DC
  9. Coordinate Trade Show pre-planning and ship materials
  10. Assist with updating contacts before and after tradeshows
  11. Coordinate post event follow-up and thank you notes
  12. Enter leads and contact updates from Trade Shows and sales trips
  13. Knowledge of all sales platforms, Simpleview, Excel, Canva, etc.
  14. Assist in research in MINT, Knowland and Meetings Database Institute
  15. Help create sales “hit lists” through Simpleview, Knowland, MINT and Meetings Database Institute (MDI)
  16. Coordinate client gifts for holidays or any other special events
  17. Coordinate projects between Sales and Marketing to ensure completion
  18. Maintain an up-to-date sales presentation in PowerPoint
  19. Prepare bid presentations via PowerPoint and hard/soft bound books; Create bid books as required
  20. Assist in any sales related projects that the Director of Sales or Senior Vice President request
  21. Flexibility to assist sales managers with any additional sales related projects that arise
  22. Gain knowledge of new technological advancements that will enhance the quality of work for the sales staff
  23. Recommend management action to improve standard operating procedures
  24. Requires strong computer and internet research skills

Required Education and Experience

The following qualifications are the minimum necessary to adequately perform this job. However, any equivalent combination of experience, education and training which provides the necessary knowledge, skills and abilities would be acceptable, subject to any legal and/or regulatory requirements.

Knowledge of Windows Operation System and Microsoft Office 365 in office environment with office computers and office machines in a secretarial capacity.

Preferred college degree and Hospitality industry experience.
