Methodist Health System is seeking a motivated self-starter with an interest in embarking on a career in health care marketing. The marketing assistant will play key role in supporting the efficiency and effectiveness of the marketing team and will have a unique opportunity to learn the inner workings of a marketing department serving the complex needs of a large health system. This role involves providing administrative support, assisting with planning and implementation of marketing tactics, maintaining marketing tools and systems, project management, and content creation through a variety of mediums.

Understanding of the basic principles of marketing, advertising, branding and communications; a willingness to learn; and experience with a wide range of software tools including Microsoft Office, Adobe Creative Suite and Canva and will be integral to the marketing assistant's success. The ideal candidate is a highly organized, proactive contributor who has well-developed critical thinking skills and can process and respond to issues as they arise.

Responsibilities:

Essential Functions

Serves as project coordinator for Account Services team, with responsibilities including but not limited to:

  • Tracking and management of tactics for client projects, such as reprint requests
  • Executes physician onboarding process, including scheduling and approvals
  • Plans, prepares and fulfills/executes Methodist presence at events
  • Coordinates review of and processes contracts in partnership with the Legal/Compliance Department
  • Records and distributes meeting notes, as needed
Manages Company Store platform, orders and seasonal sales in partnership with third-party vendor.
  • Manages day-to-day operations of the store with assistance from third-party vendor
    • Receives, verifies and distributes store orders
    • Reconciles any/all issues with store orders
  • Manages two seasonal sales annually
    • Identifies sales items and dates in collaboration with Marketing Department leadership and third-party vendor.
    • Identifies timeline for sales, and necessary employee communications
    • Receives, verifies and distributes order to assigned contacts at each affiliate
    • Provides progress updates and post-sale summary to Marketing Department leadership
Manages inventory, storage and distribution of all Marketing Department giveaway items.
  • Prepares items at the request of Marketing Department leader and Account Services team.
  • Coordinates fulfillment of requests by packaging and shipping items and/or coordinating pickup/drop off.
Reviews and tracks expenses, mileage, PTO and weekly payroll for Marketing Department.

Coordinate department functions and celebrations (birthdays, holidays, etc.) and serves as department ambassador for Methodist Hospital Foundation annual employee giving campaign.

Assists Marketing Department leadership with Outlook calendar as requested.
  • Schedules and reschedules meetings, as necessary.

Performs a wide variety of administrative and general communication functions, including, but not limited to:
  • Demonstrates professional written and verbal interpersonal communications skills with staff, vendors and other department visitors
  • Processes check requests, purchase orders, etc.
  • Answers, screens and responds to phone calls
  • Retrieves and distributes mail daily
  • Faxes/copies/scans information as requested
  • Maintains privacy and confidentiality of patients and staff information
  • Maintains reception area, conference/huddle rooms and printer station
  • Manages inventory of office supplies, ordering via Lawson, as needed
  • Updates the hazardous materials inventory, as needed
  • Processes intercampus mail requests and deliveries, as needed
Supports Marketing Department leader with special projects, other duties and tasks as assigned.

Education
  • Bachelor's Degree in Marketing, Advertising or Communications required.
Experience
  • Minimum of 1-2 years' experience in marketing communication or related project management capacity required.
