Job Description:
We are seeking an experienced Line Producer to manage the financial and logistical aspects of our Production Department. The ideal candidate will have a strong background in production management, extensive experience overseeing large-scale projects, and the ability to keep productions on schedule and within budget while coordinating multiple departments.
As the key operational leader in the production, the Line Producer will act as the bridge between the creative team and the crew, ensuring seamless execution across all aspects of the project.
Duties and Responsibilities:
Budget Management
- Creating & Managing Budgets: Develop and oversee the production budget, forecasting all potential expenses from pre-production to post-production.
- Cost Tracking & Financial Control: Monitor spending in real time, ensuring efficient allocation of resources while preventing overspending.
- Expense Reports & Reconciliation: Ensure accurate documentation of all expenditures, preparing financial summaries for executive producers and stakeholders.
- Negotiation & Cost-Saving Strategies: Work with vendors, crew, and contractors to negotiate competitive rates and identify cost-effective alternatives without compromising quality.
- Approval & Payroll Coordination: Work closely with finance teams to process crew salaries, vendor payments, and overtime approvals in compliance with industry standards.
Scheduling & Timeline Management
- Master Production Schedule: Develop a detailed timeline that covers all phases: pre-production, shooting, post-production, and delivery deadlines.
- Daily Call Sheets & Shot Lists: Ensure that all cast and crew receive daily schedules, location details, and specific scene breakdowns for an efficient workflow.
- Deadline Tracking: Continuously monitor the production’s progress to avoid delays and adjust schedules as needed.
- Contingency Planning: Anticipate potential delays or roadblocks (e.g., weather, technical failures) and have backup plans in place.
Logistics & Resource Management
- Hiring & Onboarding Crew: Work with department heads to identify and hire the best-suited crew members for the project.
- Securing Locations & Permits: Oversee location scouting, securing permits, and ensuring compliance with local laws and filming regulations.
- Equipment & Rentals: Coordinate the rental or purchase of cameras, lighting, props, costumes, and post-production tools.
- Travel & Accommodation Planning: Arrange flights, hotels, transportation, and meal plans for the production crew, especially for on-location shoots.
- Vendor & Supplier Coordination: Maintain relationships with third-party suppliers to ensure timely delivery of essential resources (e.g., props, catering, special effects).
Crew Management & Team Coordination
- Building & Overseeing Production Teams: Work with directors, department heads, and producers to ensure the right team is in place for each phase of production.
- Daily Operations Oversight: Ensure that each crew department (camera, sound, lighting, art, costumes, etc.) is aligned with the project timeline and deliverables.
- Conflict Resolution & Performance Monitoring: Address crew disputes, workflow inefficiencies, or personnel challenges to maintain a productive work environment.
- On-Set Supervision: Be present on set to oversee the execution of production plans, assisting in real-time problem-solving.
Liaison Between Creative & Technical Teams
- Facilitating Communication: Bridge the gap between directors, producers, cinematographers, actors, and technical teams to ensure creative vision is aligned with practical execution.
- Ensuring Clear Direction: Ensure that script revisions, storyboard changes, and directorial feedback are effectively communicated across departments.
- Daily Production Reports: Provide detailed updates to executives and stakeholders, covering shooting progress, budgetary concerns, and operational status.
Problem-Solving & Crisis Management
- Addressing Unexpected Challenges: Handle on-set crises such as weather delays, technical failures, last-minute casting changes, or budget overruns.
- Alternative Solutions & Quick Thinking: Develop contingency plans to mitigate production risks without sacrificing quality.
- Real-Time Decision Making: Work closely with producers and department heads to make on-the-spot adjustments that keep production on track.
Contractual Management & Legal Compliance
- Talent & Crew Contracts: Oversee the drafting and execution of contracts with actors, crew members, freelancers, and third-party vendors.
- Union Compliance & Negotiation: Ensure all agreements align with SAG-AFTRA, IATSE, and other union regulations, managing overtime policies and pay scales.
- Intellectual Property & Licensing: Handle rights clearances, ensuring all music, stock footage, and copyrighted materials are legally acquired.
- Vendor & Location Agreements: Ensure secure contractual agreements with locations, rental houses, and service providers to avoid disputes.
Legal & Regulatory Compliance
- Labor Laws & Industry Regulations: Ensure compliance with employment laws, avoiding issues related to overtime, working conditions, and fair pay.
- Production Permits & Legal Documentation: Obtain city permits, insurance, and copyright clearances necessary for smooth production.
- Copyright & Content Usage Rights: Work with legal teams to ensure all brand integrations, likeness rights, and IP regulations are honored.
Health, Safety, and Risk Management
- On-Set Safety Protocols: Implement and enforce OSHA and film industry safety standards for crew, cast, and stunt coordinators.
- Insurance & Liability Coverage: Ensure comprehensive insurance policies are in place for crew, equipment, and locations.
- Emergency Preparedness: Prepare contingency evacuation plans, first-aid support, and medical response procedures.
Script Breakdown & Storyboard Coordination
- Analyzing the Script: Dissect the script to identify locations, characters, props, visual effects, and special requirements.
- Budgeting Scene-by-Scene: Develop a scene-by-scene cost breakdown, ensuring resources align with financial constraints.
- Scheduling & Shot Planning: Determine how many scenes can be filmed daily, optimizing shoot days for efficiency and budget control.
Managing the Production Office
- Establishing a Base of Operations: Set up the production office, ensuring it has the necessary communication tools, equipment, and administrative resources.
- Overseeing Office Staff & Paperwork: Ensure smooth document flow, expense tracking, and communications between production teams.
- File Management & Archives: Organize and maintain contracts, financial records, production schedules, and call sheets for legal and audit purposes.
Qualifications:
- Minimum 5 ~ 7 years of experience in film or television production, with a proven track record as a Line Producer.
- Demonstrated ability to manage large-scale productions with 50+ crew members and multiple departments.
- Bachelor’s degree in Film Production, Media, Business, or a related field.
- Expertise in budgeting, scheduling, and logistics management.
- Experience with budgeting software such as Wrapbook, Getactual, Airtable or Movie Magic.
- Strong leadership, negotiation, and communication skills.
- Ability to thrive in high-pressure environments and solve problems quickly.
- Experience with international productions or large studio projects.
- Well-established network of industry professionals and vendors.
