Event Producer (Contract) – Marketing & GTM Events

6-Month W2 Contract | Pay: $48–$60/hour, DOE

Russell Tobin & Associates is partnering with a pioneering leader in the AI space—an organization shaping the future of technology—to find an experienced Event Producer to support a dynamic series of Marketing and Go-to-Market events.

This individual will work closely with a senior member of the Events team to execute 8+ events through June, spanning San Francisco, New York, and Europe. This is a junior-to-mid-level opportunity ideal for a highly organized and adaptable event coordinator who thrives in fast-paced environments and enjoys wearing many hats.

What You'll Do

  • Execute event logistics for high-profile B2B and customer-facing events, including venue setup, signage, registration, catering, A/V, and more.
  • Collaborate cross-functionally with design, procurement, and GTM stakeholders to ensure brand alignment and operational success.
  • Manage attendee registration processes—monitoring RSVPs daily and sharing updates with the GTM team for appropriate routing.
  • Source and coordinate with vendors: rentals, lighting, monitors, printing, etc.
  • Maintain event budgets, track expenses, process invoices, and report on budget status.
  • Contribute to pre- and post-event communication, ensuring smooth attendee experiences and post-event insights.
  • Travel domestically and internationally to support onsite execution (valid passport required ).

You’ll Thrive in This Role If You:

  • Have 2–4+ years of hands-on experience in event production or coordination.
  • Are highly detail-oriented with strong project management and communication skills.
  • Excel at juggling multiple timelines and stakeholders across several events simultaneously.
  • Have experience with event management tools/platforms like Splash , Bizzabo , Swoogo (or similar) , and Excel .
  • Are flexible, calm under pressure, and energized by fast-moving work environments.
  • Can confidently manage logistics and vendors while keeping an eye on the guest experience.
  • Are excited to contribute to events that showcase transformational technology.

  • Start Date: ASAP (April)
  • Location: Onsite in San Francisco, CA (Hybrid not available)
  • Contract Length: 6 months
  • Pay Rate: $48–$60/hour depending on experience (W2 only)
  • Travel: Required – events are in SF, NYC, and EMEA
  • A valid passport is required for international travel.
