License and Certification Qualifications: None required.
Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.
Experience Qualifications: Three years in an office/clerical environment required. Experience in library processing and database software preferred. Technical support experience preferred.
Skills Qualifications: Strong time management and organizational skills with ability to manage multiple projects simultaneously and with limited supervision; ability to keep detailed and accurate records; excellent skills in oral and written communication; excellent telephone and public relations skills; ability to be customer service oriented in interactions with employees at all levels of the organization; extensive knowledge of library management systems; computer skills with a working knowledge of office productivity applications; ability to work as part of a team; flexibility and adaptability to change; and ability to represent Gwinnett County Public Schools in a positive and professional manner.
Primary Responsibilities: Provide support to district offices and local school media center personnel using library management software for managing print and digital resources including but not limited to, library books, parent center materials and bookroom items.
- Manage logistics for a variety of Library Media Services programs including, but not limited to Readers Rally and the Book Mobile.
- Manage communication with principals, community housing managers, drivers and media staff on the details of the Book Mobile program.
- Manage reservations, confirmations and scheduling of the Book Mobile events including booking drivers, workers and volunteers.
- Assist in the development and delivery of volunteer training.
- Create and manage a detailed calendar of dates and communicate relevant deadlines.
- Oversee the stocking of both Book Mobiles; inform Coordinator of inventory status.
- Prepare and organize materials needed such as signage, scanners and computer applications.
- Perform similar duties as needed for other Library Media Services events and programs.
- Assist in the receiving and processing of new materials for the Library Media Services Department.
- Communicate with schools and Transportation to arrange pickup and delivery of materials for processing by Library Media Services department.
- Facilitate discussion with school media staff, bookroom staff, parent center staff and Title I leadership on the requirements for processing materials specific to their program
- Manage inventory needed for processing materials.
- Assist with other stages of processing as needed.
- Manage mobile library inventories and resources.
- Process print and digital resources for local schools and GCPS district offices.
- Manage local inventory of unique barcodes for each school.
- Identify, confirm and correct discrepancies resulting from local school annual inventory.
- Communicate with district and local school personnel regarding processing of special program materials.
- Manage concurrent tasks in an independent and orderly manner to ensure that priorities are completed by deadlines.
- Apply technology appropriately to develop and produce quality documents such as calendars, job aids, process documents, instructions and checklists.
- Develop spreadsheets and presentation documents, integrating data from multiple sources for communication to stakeholders.
- Provide administrative support to the department by identifying, developing, and streamlining areas of process improvement and service delivery.
- Assist in maintaining a responsive, customer-focused climate.
- Continuously evaluate and recommend improvements to department services.
- Create reports for district users and local schools as needed.
- Support supervisor by being knowledgeable of department programs, procedures used, and information needed to assist in program office functions
- Cooperate with and maintain a positive relationship with division, department, and program office teams.
- Perform other duties as assigned.
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
