Job Description
The main responsibilities for Service writer are primarily answering phones, greeting clients, ordering parts, writing work orders, overseeing transactions/ payments, and keeping communication between technicians and clients.
Customer Interaction & Communication:
- Greet customers in a friendly and professional manner.
- Listen to customer concerns about their vehicle’s performance and recommend necessary services.
- Provide customers with accurate, clear, and detailed estimates for repairs or maintenance.
- Explain services and repairs in an easy-to-understand manner.
Service Order Creation & Management:
- Open service orders for each customer, accurately documenting their concerns, vehicle issues, and requested services.
- Ensure all required information is captured, including the customer’s contact details, vehicle specifics, and service history.
- Coordinate with technicians to prioritize and clarify service needs.
Liaison Between Technicians & Customers:
- Communicate customer concerns and expectations to the service technicians.
- Relay technician feedback to customers regarding vehicle repairs, diagnostics, and potential issues.
- Keep customers updated on the status of their vehicles and any changes to repair timelines or costs.
Invoice Preparation & Payment Processing:
- Prepare invoices for customers, detailing services performed, and parts used.
- Explain the breakdown of costs on the invoice to customers, answering any questions they may have.
- Process payments, whether in cash, credit card, or other forms of payment.
Service Recommendations & Sales:
- Suggest additional services, such as maintenance recommendations or upgrades, based on the vehicle’s needs or manufacturer recommendations.
- Promote any special offers, services, or warranties to customers.
Maintaining Customer Records:
- Keep accurate and up-to-date records of customer information, vehicle service history, and service orders.
- Input data into the shop management software and update customer profiles as needed.
Parts Coordination:
- Work with parts departments to ensure that the necessary parts for repairs and maintenance are available and on hand.
- Order parts for vehicles when needed and track part availability.
Customer Retention & Relationship Building:
- Provide a high level of customer service to encourage return business.
- Foster long-term relationships with customers by offering personalized service and follow-up on previous repairs.
