Job Description
Summary
An Assistant is responsible for performing a variety of administrative tasks to support the agent in client and internal matters.
Responsibilities
- Maintain accuracy of artist contact records and deal memos in the booking system.
- Update client bios, riders, and advertising materials.
- Enter offers and related show details into the booking system.
- Liaise with relevant teams to complete show-related administration.
- Issue contracts for confirmed performances.
- Track unreturned contracts and follow up on signed contracts.
- Review and address contract markups.
- Create and issue artist itineraries when necessary.
- Organize and execute announcements and on-sales.
- Manage ticket counts for confirmed events.
- Create and send invoices for show-related payments.
- Track unpaid deposits and balances, coordinating with accounting to ensure timely funds receipt.
- Coordinate with the accounting team to update client tax and payment information.
- Manage work visa processes for clients.
- Coordinate client onboarding and offboarding with the operations team.
- Set and confirm meetings; maintain agent and artist calendars.
- Manage inbound calls on behalf of agents.
- Book agent travel arrangements as needed.
- Submit expense reports for agents.
- Perform additional tasks and responsibilities as assigned.
Base salary: $47,500 plus potential bonuses. Actual salary depends on factors such as market, location, experience, skills, responsibility level, and tenure.
