Job Description: Service Writer
Our client is seeking a Service Writer responsible for supporting the Shop Supervisor and staff, acting as a liaison between customers and the shop. The ideal candidate must communicate professionally with customers, vendors, and employees.
This role involves understanding customer service needs, documenting repair requests, and coordinating with staff to ensure timely work completion. Reporting to the Shop Supervisor, the Service Writer may receive specific instructions from lead mechanics or technicians, which must be documented and prioritized. The position directly impacts company profitability by ensuring accurate work order entries, timely parts ordering, and efficient technician assignments.
Duties and Tasks
- Prioritize the customer experience by delivering quality work and on-time completion, maintaining professionalism at all times.
- Answer incoming service requests, listen to customer concerns, and dispatch technicians accordingly.
- Document all service requests and issues accurately using shop software.
- Obtain parts pricing, estimate labor times, and respond to customers within 24-48 hours for estimates.
- Schedule appointments, create service orders, and coordinate repair timelines with customers.
- Maintain communication with customers during multi-day repairs and inform them of additional issues discovered.
- Order, receive, and manage parts inventory, ensuring proper documentation and vendor credits.
- Manage shop inventory, monitor technician hours, and ensure efficient operations.
- Support customer payments, ensure proper documentation, and solicit post-service reviews.
- Maintain shop cleanliness, organization, and safety protocols.
- Assist with staff training, process improvements, and general shop duties as needed.
Qualifications
- Valid Iowa driver’s license.
- At least 1 year of experience in a diesel or automotive environment, including scheduling.
- Professional appearance and demeanor.
- Contingent on passing a pre-employment drug test and compliance with random testing.
- Strong problem-solving, math, language, and communication skills.
- Ability to work under pressure, be flexible, and adapt to changing schedules.
