Who We Are Looking For:
We’re looking for a highly organized, detail-obsessed Creative Project Manager / Operations Coordinator to help lead the day-to-day operations of our growing Creative Department. This role sits at the center of our creative engine. You’ll manage timelines, team bandwidth, task assignments, and deliverable tracking across a range of video and design projects. You’ll also lead operational workflows within ClickUp to ensure project visibility, communication, and efficiency across teams.
Job Summary:
As the Creative Project Manager / Operations Coordinator, you’ll be responsible for owning the internal creative project pipeline, enforcing process discipline, and ensuring deliverables move smoothly from kickoff through final approval. You’ll collaborate with creative leads, account managers, and cross-functional teams to make sure everything is running on schedule and nothing falls through the cracks.
Key Responsibilities:
Project Management & Workflow Coordination
- Own the project lifecycle for creative deliverables—brief intake, resource allocation, timeline management, and delivery.
- Assign and monitor tasks across project management tools (ClickUp, Air, Foreplay, etc.), ensuring clarity on deadlines, priorities, and dependencies.
- Track progress of design, video, and cross-functional creative projects and proactively flag delays or blockers.
Creative Operations & Process Ownership
- Manage the day-to-day operations of the Creative Department, including project prioritization and team resourcing.
- Enforce processes for creative intake, feedback cycles, approvals, and file delivery.
- Partner with leadership to improve internal systems, documentation, and workflows.
- Ensure projects adhere to scope and communicate scope creep or timeline shifts to stakeholders.
Cross-Functional Communication
- Serve as the main point of contact between creative, strategy, and client services teams.
- Facilitate communication between internal stakeholders to ensure expectations are aligned.
- Support clear feedback loops and documentation for all creative work.
Tool & Platform Management
- Own and manage all digital workspaces, project management platforms, and creative asset management tools—such as ClickUp, Air, and Foreplay.
- Identify opportunities to improve operational efficiency through better use of tools or system updates.
Skills & Qualifications:
- 3–6 years of experience in creative project management, creative operations, or agency production coordination.
- Strong understanding of creative workflows across design and video.
- Advanced experience using ClickUp for project management—must be able to build and manage views, dashboards, and automations.
- Excellent organizational skills with a proactive mindset and strong attention to detail.
- Ability to manage multiple projects and timelines across cross-functional teams.
- Strong communication and collaboration skills; comfortable managing up and across.
Bonus Points for:
- Experience working in a digital marketing, advertising, or DTC eCommerce environment.
- Familiarity with Slack, Google Drive, Frame.io, Click Up, Air, Foreplay, and Figma.
- Prior experience supporting video production pipelines or high-volume creative teams.
- Knowledge of creative briefing, routing, and QA processes.
