POSITION OBJECTIVE: Schoel is seeking a Design Team Coordinator to provide support to their Principals and Project Managers. The primary focus for this role is to assist with organization and communication both internally and externally related to project schedules, proposals, and deliverables. Additional roles include administrative assistant tasks for Department Managers, managing professional licensure processes, and assisting with both internal and external company events.
KEY RESPONSIBILITIES Manages the master project schedule for the design staff using scheduling software such as Microsoft Project or other software required Facilitates weekly department meetings and updates master schedule based on meeting notes Ensures efficient time management on projects, tracks action items for implementation, and timely due diligence reporting for Principles and Project Managers Communicates internally and externally on expectations of project deliverables Support Department managers in creating and delivering responses to RFQs and RFPs, and coordinating with marketing and other appropriate departments when applicable Responds in a timely manner to requests from both internal and external sources.
SKILLS & EXPERIENCE NEEDED: Bachelor's degree preferred but not required. 2+ years of professional or leadership experience. Highly organized and detail-oriented, with the ability to manage multiple priorities and deadlines effectively. Strong communication skills, both written and verbal. A problem solver who has the ability to think and act quickly. Self-starter and has the ability to be proactive rather than reactive. Adaptable and flexible, able to thrive in a dynamic, fast-paced environment with changing priorities. Maintains a professional, respectful relationship with all coworkers and clients. Takes initiative and continually seeks ways to improve the quality of service and deliverables. Strong time management skills. Proficient in Microsoft Office Suite (Word, Excel, Teams), and Adobe software; experience with other tools is a plus.
