Development Assistant, Duke University Libraries
Position Summary
The Development Assistant will plan, implement, and support activities related to fundraising, and communications for the Development and Communications department at the Duke University Libraries. The Assistant will perform administrative duties of a complex and confidential nature and will successfully manage multiple responsibilities simultaneously with a high level of initiative, work comfortably with data sets and databases, possess strong attention to detail, and have excellent written and verbal communication skills.
Responsibilities
Administrative Support - 60%
* Assist with fundraising travel as it relates to compiling prospect data, strategy development, materials preparation, and coordination as needed for the Development department.* Support calendar needs for Associate University Librarian for Development, arrange for and schedule meetings for the Development staff as needed, and prepare necessary documents for use in meetings.* Assist with planning, coordinating, and staffing special events, meetings, and programs for the Development and Communications department, including Library Advisory Board meetings, Reunions Weekend, etc.* Receive and respond to requests for information and assistance from alumni, donors, and campus colleagues exhibiting excellent customer service skills.* Manage the administrative needs of the Development and Communications department, including but not limited to maintenance of donor records and files, donor gift inventory and ordering, etc.* Liaise with the University Librarian's office as needed and other programs, offices, and departments at Duke to accomplish program objectives and ensure adherence to deadlines.* Serve as the department representative to Duke University Libraries colleagues and campus visitors to the office. Respond to in person and phone inquiries by providing information, offering resources, and/or directing individuals to the appropriate staff as needed.
Data Management - 30%
* Support fundraising team with data needs including producing and sharing reports needed for various projects and programs, including prospect pipeline, watchlists, trip call lists, Development and Communications departmental mailings, and event invitation lists.* Maintain the integrity of confidential alumni and donor records in Duke's database (DADD), including the entry of donor moves and solicitations and the identification and correction of missing or inaccurate information.* Compile fundraising data and produce Excel reports for various projects and programs for the Development and Communications department, and other departments at the Duke University Libraries.* Manage the recording and reporting of gifts received by Duke University Libraries, including the resolution of gift reporting issues with the Office of Gift Records.* Develop and implement deep-dive prospecting projects to help fundraisers assess prospect and donor pipeline and build programmatic capacity.
Financial Services (10%)
* Perform a variety of complex accounting tasks involved in maintaining financial records and processing-related data such as invoices and receipts and travel accounting; monitor and reconcile accounts with detailed financial statements; track and inform appropriate staff members of financial status of various projects.* Compile financial reports and statistics as requested by the University Librarian, the Associate University Librarian for Development and/or the Director of Financial and Facility Services; prepares complex reports and proposals requiring the inclusion and identification of sources, compilation, analysis and evaluation of data.

Education:
Required: Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in administrative support or a related business field.
Experience:
Required: Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.

Salary and Benefits
$20.00 per hour (minimum). Comprehensive benefits package upon eligibility includes vacation, 14 holidays, sick leave, health, dental, disability, life insurance, educational assistance, and tuition grants. This position is not eligible for relocation assistance.
