About the Role and Team
Walt Disney Imagineering (WDI) is the master planning, creative development, design, engineering, production, project management, and research arm of The Walt Disney Company’s (TWDC) Parks and Resorts business segment. Representing more than 150 disciplines, the talented corps of Imagineers are responsible for the creation of Disney resorts, theme parks, attractions, hotels, water parks, real estate developments, regional entertainment venues, cruise ships, and new media technology projects.
The Project Coordinator is the catalyst that consolidates input from Music Studio Team to solve challenges and drive results. This position focuses team members on the integrated goals of the project and drives music solutions on behalf of the WDI Music Studio. The Project Coordinator is the center of communication and connection for a project team. Specifically, in partnership with Disney theme parks, cruise lines, and hotels, the WDI Music Studio provides music solutions for attractions, live entertainment, and more.
The Sr Project Coordinator- Music will report to the Global Music Executive at WDI Music Studio.
This is a Full-Time role.
What You Will Do
- Music editor skills, editing music to picture and finessing music cues together.
- Experience with music business basics (music publishing, union items, music clearance, and licensing).
- Travel booking (international and domestic, hotels, ground transport), prepare itineraries for music team and music talent.
- Manage Music Studio - responsible for recording studio set up, troubleshooting tech issues, coordinating food orders and items for music talent.
- Prepare playlists and listening links to music files for partners (internal and external).
- Maintain databases and track project schedules, deliverables, recording sessions, budgets and create regular summaries.
- Manage audio file library and archiving process, check for accuracy.
- Prepare soundtrack label information for music releases.
- Detailed music research – resourceful and tenacious in sourcing hard to find information.
- Support team in drafting cue sheets, music budgets, schedules.
- Send out/collect NDAs and Sensitive Information Protection Documents, ensuring accuracy and completion from partners.
- Support team in collecting and tracking start paperwork for large scoring sessions.
- Draft cover letters and send out checks.
- Assist and gather information needed for presentations, liaise with music team/leader to create meeting agendas and distribute before meetings.
- Manage music studio master calendar, with all project info and their details, contacts.
- Prepare expense reports and purchase orders.
- Meeting maker – handling complicated multi-group meetings – manage logistics and troubleshoot IT items.
- Take detailed notes during important meetings and summarize key findings and action items.
- Manage security site access requests, security passes, parking clearances, greeting visitors various locations including the office, at parks and at various music recording studios.
- Draft letters and emails on behalf of your leaders.
Required Qualifications & Skills:
- 2+ years in a support role
- Minimum of 2 years working in music across film, TV, live-entertainment or music studios
- Proficiency with iTunes, Spotify, Apple (Mac) programs, Microsoft Office programs (Outlook, Word, Excel, PowerPoint, Teams), Box, Zoom, Sound Mouse, Disco and Airtable.
- Understanding of Pro-tools, Logic and music editing skills highly valued.
- Bonus for Disney background, already knowing some of the systems and procedures.
- Having art skills is preferred and a plus (photoshop, adobe, photo editing, graphic design, deck creation).
- An aptitude to self-learn new systems, processes and programs.
- Self-driven with an ability to work independently and in a team environment.
- Excellent time management skills, ability to prioritize, and work in a fast-paced environment with shifting deadlines.
- Effective follow through on to-dos, long term projects, and ability to keep lower priorities moving forward.

Education:
- High School education or equivalent experience.
- BA or BS in music or related field preferred.

The hiring range for this position in Glendale, CA is $64,300 to $86,200 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
